About Us
When people talk about the Flying Doctor, thoughts generally turn to red-bellied planes undertaking rescue missions in the Outback. However, the current Victorian story is one that reflects today's challenges for people living in remote and rural communities across the state. While we do still transport people by air and by road, this work is complemented by a range of primary health services that address the most common issues people living in country Victoria face when accessing health care.
About the Role
The Program Officer provides high-quality administrative, data, and operational support to enable the effective delivery of health and community programs across the Operations Centre. This role plays a key part in ensuring program guidelines, processes, and eligibility requirements are applied consistently, while maintaining accurate data and reporting. You will work closely with clinicians and operational teams to support clear communication and coordinated service delivery. The position also contributes to compliance activities and continuous improvement initiatives, ensuring programs meet regulatory and contractual obligations. Through strong coordination and attention to detail, you will help deliver efficient, reliable, and client-centred services. This role can be based at either our Essendon site or Richmond office.
Key responsibilities include but not limited to:
- Providing day-to-day administrative and operational support to ensure program processes, rules, and eligibility requirements are applied consistently
- Delivering accurate program information and guidance to support effective and compliant service delivery
- Managing and resolving non-standard or escalated administrative matters using strong program knowledge and established procedures
- Maintaining high-quality data and records across systems, ensuring accuracy, completeness, and alignment with reporting requirements
- Preparing routine and ad hoc reports to support program performance, monitoring, and compliance obligations
- Coordinating communication between clinicians, operations teams, and program leadership to ensure smooth service delivery
- Supporting compliance activities, including maintaining documentation, audit trails, and identifying risks for escalation
- Contributing to continuous improvement initiatives and cross-program support to enhance efficiency, consistency, and service outcomes
To be successful, you will need:
- Strong organisational skills with the ability to manage multiple priorities, maintain accurate records, and meet deadlines
- Excellent written and verbal communication skills, with the ability to engage effectively with a range of stakeholders
- High attention to detail, ensuring accuracy across data, documentation, and reporting
- Proficiency in Microsoft Office, SharePoint, RingTel, and Halo, with confidence learning new systems and troubleshooting issues
- A Certificate IV or Diploma in Health Administration, Community Services, or a related field
- Understanding of compliance, governance, and reporting requirements within funded health or community programs, with experience in continuous improvement highly regarded
- Satisfactory completion of safety screening including a current Working with Children's Check, National Police Check, and the right to work in Australia.
