About the role 

  • Hybrid working arrangements available (minimum one day per week in Melbourne CBD office)  
  • 0.8FTE (flexible work arrangements available) 
  • Fixed term to June 2027 (with potential for renewal) 
  • $100,416 - $103,282 (pro-rated) + 12% super + 17.5% annual leave loading + 5 additional days health/wellbeing leave 

Reporting to the Director, Prevention in Action, this role provides high-level executive and administrative support to help drive the efficient operation of the directorate. Working closely with the Director, leadership team and broader Executive Assistant team, you will manage priorities, coordinate key activities, and build strong relationships with internal and external stakeholders in a fast-paced and collaborative environment. 

The role also works closely with the Executive Assistant team to provide in-person coverage in the Melbourne office on a rostered weekly basis and support as needed to the broader EA team, including leave coverage.  

Your key responsibilities will include: 

  • Provide executive and administrative support to the Director, Prevention in Action. 
  • Manage complex calendars, meetings, competing priorities and deadlines. 
  • Track and coordinate action items to ensure timely completion of key deliverables. 
  • Coordinate approvals, briefing materials and other activities requiring Director involvement. 
  • Organise directorate meetings, planning days, workshops and training sessions. 
  • Arrange travel and manage associated logistics for the Director and directorate staff. 
  • Reconcile the Director's corporate credit card and support other administrative processes. 
  • Maintain accurate records, documentation and filing systems. 
  • Develop and maintain stakeholder and partnership records to support reporting requirements.
  • Support organisational initiatives, continuous improvement activities and cross-functional projects. 

About you

You are a highly organised and proactive Executive Assistant who thrives in a fast-paced environment, confidently managing competing priorities and complex diaries. You bring strong attention to detail, ensuring action items, deadlines, and documentation are accurately tracked and maintained.

A collaborative team player, you support senior leaders with meetings, travel, and day-to-day coordination, while working flexibly across teams when needed. You’re reliable, adaptable, and take pride in delivering seamless, high-quality support that enables leaders to perform at their best. 

Experience in Asana, and a not-for-profit and/or government environment is preferable.
