About Us:

The Women’s Centre is a not-for-profit service offering a range of supports to women and their children in Townsville and outreach to the local region. Outreach areas include Ingham, Ayr, Charters Towers and The Townsville Women’s Correctional Facility. The Women’s Centre is a women’s only space incorporating the following services; Specialist Homelessness Service, Women's Health and Wellbeing Service, Sexual Assault Support Service, and a 24hour interagency Sexual Assault Response Service.

About You:

  • Certificate III in Business Administration or similar; or equivalent experience.
  • Current Working with Children Blue Card.
  • Current valid Queensland, Open, C class driving licence.
  • Right to Work (Australian/New Zealand passport; Australian/New Zealand Birth Certificate or Citizenship Certificate or International Passport & Visa)

Position Summary:

The Women's Centre are currently looking to employee a part-time Receptionist/ Administrator for 3 days per week (Monday, Thursday and Friday) for a 6-month contract with strong possibility of extension.

Employees are engaged for the purpose of managing the initial contact to women presenting at The Women's Centre during opening times. Employees must respond proactively and supportively to all women who access the Centre, and to all other inquiries.

  • Provide a welcoming and supportive response to women who contact The Women’s Centre during business hours, primarily by phone or email, but also to women attending the Centre in person.
  • Provide administrative support to the organisation.
  • Provide accurate and timely information and referral to service users.

Key Requirements :

  • Experience working within a frontline reception environment
  • Customer focussed with the proven ability to provide professional customer service
  • Demonstrated experience in a range of administrative and clerical functions
  • Intermediate level experience in MS Office, IT systems and databases.
  • Excellent communication skills, both verbal and written
  • Excellent organisational skills with the ability to prioritise and meet deadlines
  • Strong cultural awareness of Aboriginal and Torres Strait Islander peoples
  • Experience in not-for-profit community service organisations (preferable)

Duties

  • Conduct the functions of front office reception to welcome all women to the Centre.
  • Attend to all incoming telephone calls, emails and women presenting at the Centre.
  • Assess needs of women presenting to the Centre and refer to appropriate team, accurately recording information on database.
  • Notify appointment arrivals, cancellations and re-bookings in a prompt and timely manner.
  • Provide information and referral as required to service users.
  • Support women to access the telephone and the computers and assist with printing and scanning.
  • Accurately record information on the internal database.
  • Accurately input, update and maintain data in databases and spreadsheets.
  • Create, maintain and display current service and event information on internal and external information boards.
  • Maintain distribution lists of all stakeholders for circulation of information.
  • Create, maintain and circulate the Centre's monthly Calendar and group flyers.
  • Maintain storage and organisation of resources for use by clients, staff and visitors including information pamphlets, craft supplies, meeting room supplies to ensure the smooth operation of the organisations’ services.
  • Contribute to and support the tidy, timely and appropriate management of the administration space, consumables, communal areas, kitchen, garden and workspace, including washing towels, tea-towels and communal room blankets/throws when needed.
  • Monitor, purchase and refill stock in bathrooms, client laundry and groceries required for the client pantry.
  • Conduct tasks to open and close the Centre.
  • Accept and organise donations, including collating client care packs and storage of all items accessed by staff for SHS, SASS, SART & WHS Services.
  • Support meetings as required including calendar appointments, room bookings and arrangements, preparing agendas, arranging catering, assisting attendees and preparing and distributing meeting minutes.
  • Respond appropriately to emergency situations and participate as part of the Centre’s Emergency Management Team.
  • Assist in policy formulation and the quality systems of the organisation.
  • Attend staff meetings as required, participate in teamwork, share on a rotating basis responsibility for taking minutes and facilitating meetings.
  • Other administrative tasks as requested by the CEO, Business Administrator and Finance/ HR Officer

  • Other duties as reasonably required within the scope and skills of this position.

  • Commensurate with experience under the SCHADS Award 2010 - Level 3
