We are the Australian Jewish community’s leading progressive voice on Israel and Palestine. Since our establishment in Australia in 2011, thousands of people have come to our events and we’ve distributed millions of dollars to critical civil society projects in Israel. While we are a small organisation managed by an Executive Director, and an active board, we work with our global NIF partners to advance a just and democratic Israel. To realise our vision, we partner with Israeli accredited non-profits, raise funds for their projects and engage our supporters and the broader community on the critical issues facing Israeli civil society.

Purpose of the role

The role is offered as a 0.7 FTE operations position, with the option for the right candidate to take on an additional 0.3 FTE focused on supporter data and engagement across EDMs and leading social media platforms.

Reporting to the Executive Director, the Operations Coordinator plays a key role in keeping NIF running smoothly. As the first point of contact for all operational and administrative queries, you will provide support to other team members to deliver our programs, events, fundraising and supporter communications.

We’re looking for someone who’s highly organised, proactive, personable and who thrives in a fast-paced environment and enjoys building strong relationships across teams.

The Marketing Data Coordinator responsibilities include maintaining clean, compliant subscriber and supporter datasets, tracking and analysing engagement and reach data, and supporting optimisation through evidence and reporting.

These dual responsibilities recognise the shared skillset required for operations and data stewardship, while allowing flexibility to appoint either a combined full-time role or a more focused operations position depending on candidate strengths.

Role overview

We are seeking a highly organised, systems-minded Operations & Marketing Data Coordinator to support the smooth functioning of the organisation.

This role combines:

  • Core operations coordination (0.7 FTE) across finance administration, logistics, systems, and data; and
  • Marketing and data performance (0.3 FTE) focused on maintaining clean subscriber lists and analysing EDM and social media impact.

  • the 0.7 FTE Operations role only, or
  • the combined 1.0 FTE role, which includes responsibility for EDM marketing data and performance.

Key Tasks, Activities & Responsibilities

Part A: Operations Coordination (0.7 FTE)

Financial

  • Act as key liaison with external bookkeepers and accountants
    • Coordinate all payables and receivables
    • Ensure income and expenses are correctly labelled, designated and reconciled
    • Provide support to bookkeepers, accountants/auditors during the preparation of Annual Reports
  • Manage donor receipting and invoicing
  • Coordinate expense tracking and budget monitoring based on budgets developed by the Executive Director and the board of directors

Governance:

  • Providing administrative support to the Grants Manager to ensure grantmaking compliance including administrative communication with grantees and record keeping
  • Drafting board agendas, minutes and coordinating communications with the board of directors

Events

  • Support the Events Manager with booking travel and accommodation, event venues and spaces

Logistics & office coordination

  • Provide virtual office support to the whole team, including:
    • ordering office supplies
    • printing and mail coordination
  • Support procurement and coordination of external suppliers and contractors

Data & website administration

  • Maintain clean, accurate fundraising and supporter data across various platforms including NationBuilder, Raisely, WordPress
  • Undertake routine website updates and maintenance, including content uploads and basic page management

Systems & internal operations

  • Manage organisational subscriptions, software accounts, and licenses
  • Maintain clear, accessible digital filing systems
  • Support the development and documentation of internal systems and operational policies to improve efficiency and consistency

Special projects

  • Support onboarding and implementation of new systems, including:
    • A 2026 new website build
    • CRM transitions
    • New digital tools or platforms
  • Assist with short-term operational projects as required

Part B (Optional): Marketing & Data (0.3 FTE)

This component may be combined with the Operations role for the right candidate.

Email, subscriber and social media data

  • Maintain up-to-date, compliant EDM subscription lists
  • Manage opt-ins, unsubscribes, suppression lists, and segmentation
  • Ensure data accuracy and privacy compliance

Performance tracking & analysis

  • Track and analyse:
    • open rates
    • click-through rates
    • audience engagement trends
  • Produce simple performance reports and insights
  • Support testing and optimisation (subject lines, timing, segmentation)

Knowledge, skills & experience

Essential:

  • A commitment to the values of the New Israel Fund
  • Strong administrative and organisational skills
  • Experience coordinating finance admin, invoicing, and communicating with bookkeepers
  • Confidence working with databases, spreadsheets, and digital systems and
  • Ability to troubleshoot and learn new systems fast
  • Excellent attention to detail and follow-through
  • Interest in systems improvement and operational efficiency
  • Ability to occasionally work outside business hours, as required, and to attend NIF Australia events as requested (time off in lieu is provided for hours worked outside business hours)

Desirable:

  • Experience working with Xero, or confidence in learning new systems
  • Bookkeeping qualifications

If applying for the full time role (includes Email/Social Media data role)

  • Experience with CRM systems
  • Comfortable analysing engagement data and producing insights
  • Experience across major new media platforms (email marketing, Instagram, LinkedIn, Facebook, Youtube, with an eye to adopting others as they become relevant).
