About the role

The HSU is excited to recruit an Executive Assistant who will provide high level executive and governance support to the Secretary, ensuring the effective coordination of the Executive Office and facilitating communication and engagement between the Secretary, elected leadership, senior management and key stakeholders.

This is a Full Time position based in our Sydney CBD Head Office. Please note that this position is an in office role.

Responsibilities

Executive and Diary Management:

  • Manage the Secretary’s diary and priorities.
  • Coordinate travel, logistics and briefing materials.
  • Anticipate issues and keep the Executive Office running smoothly.

Governance and Committee Coordination:

  • Coordinate governance meetings (Committee, Council and subcommittees).
  • Prepare agendas and papers; distribute materials.
  • Minute meetings; maintain action registers and governance records.

Executive Liaison and Stakeholder Coordination:

  • Manage liaison between the Secretary and key internal/external stakeholders.
  • Draft and coordinate executive communications (briefs, correspondence and presentations).
  • Support executive engagement (Councillors, leadership) and liaise with the HSU National Office.

Events and Organisational Activities:

  • Coordinate major events, functions and official engagements.
  • Arrange venues/catering and prepare briefing/speaking notes and documentation.

Financial and Administration Oversight:

  • Reconcile expenses (credit card/travel) and support travel reporting with Finance.
  • Maintain Executive Office systems (documents, records and contacts).

General Support:

  • Provide high-level administrative support across the Executive Division.
  • Drive process improvement and complete other duties as directed.

Essential Skills and Experience

  • Demonstrated experience providing high-level executive support to senior leadership.
  • Exceptional organisational and time management skills with the ability to manage competing priorities and deadlines.
  • Strong judgement, discretion and ability to manage confidential and sensitive information.
  • Highly developed written communication skills, including preparation of executive correspondence, briefing papers and reports.
  • Excellent interpersonal and stakeholder engagement skills, with the ability to work effectively with elected officials, senior managers and external stakeholders.
  • Proven ability to coordinate governance processes including board, committee or council meetings.
  • Strong attention to detail and ability to maintain accurate records and documentation.
  • Advanced proficiency in Microsoft Office and digital collaboration platforms (e.g. SharePoint, Teams or similar).
  • Ability to anticipate executive needs, problem solve and exercise initiative in a fast-paced environment.
  • Experience working within a membership-based organisation, union, government or similar complex governance environment is desirable.

Remuneration

  • $98,022- $128,324 + 12% (12.5% for females) Employee Superannuation Contributions
