About the Role
We are seeking a Communications & Project Coordinator to support the delivery of Her Heart's communications, digital engagement and project activities.
This is a varied and hands-on role that will involve coordinating social media, digital communications, website content, stakeholder communications, events and organisational projects. The role also supports the management of digital platforms, reporting, CRM systems and the implementation of new technologies, including AI-enabled tools.
Working closely with the General Manager, you will play an important role in supporting awareness campaigns, research initiatives, advocacy activities and organisational growth.

Position Purpose
The Communications & Projects Coordinator will support the delivery of Her Heart’s communications, marketing, fundraising and project activities by coordinating workflows, managing project documentation, supporting campaign implementation, and providing administrative and technical support across key platforms and organisational initiatives. Reporting to the General Manager, the role will ensure the efficient delivery of communications, events, partnerships, research activities and organisational projects.
The position will also support the implementation and ongoing management of digital systems and technologies, including databases, CRM platforms, website updates and emerging AI tools. The role will coordinate content scheduling, social media activity, email communications, stakeholder engagement activities, reporting and project tracking, helping to strengthen organisational effectiveness and support the delivery of Her Heart’s strategic priorities. This role is ideally suited to someone with strong coordination, communication and organisational skills who enjoys working in a small team, across a broad range of activities in a mission-driven environment.
Position Responsibilities and Key Results Areas
- Coordinate communications and project activities, ensuring timelines, deliverables and reporting requirements are met.
- Develop, schedule and publish content across Her Heart's digital channels, including social media, website and email communications.
- Create and coordinate written, visual and digital content aligned with Her Heart's communications priorities and campaign plans.
- Coordinate newsletters, EDMs, stakeholder communications and campaign implementation activities.
- Maintain and update the Her Heart website, digital assets, resources and communication materials.
- Support the administration and ongoing management of HubSpot, Mailchimp, CRM and other digital communication platforms.
- Coordinate project documentation, including project plans, delivery trackers, reports, stakeholder updates and data records.
- Support the delivery of awareness, education, research, advocacy and fundraising campaigns through effective coordination and implementation.
- Monitor social media, website and campaign analytics and assist with reporting, audience insights and performance monitoring.
- Support the implementation of AI-enabled tools, automation activities and new technologies to improve efficiency and organisational effectiveness.
- Assist with the planning and delivery of conferences, webinars, events and stakeholder engagement activities, including communications, registrations and logistics.
- Liaise with internal and external stakeholders, suppliers, contractors and service providers to support the successful delivery of communications and project activities.
Qualifications & Competencies
Essential:
- Bachelor’s degree in Health Sciences, Communications, Marketing, Public Relations or a related discipline/ field.
- Minimum 3–5 years' experience in communications, marketing, digital engagement or project coordination.
- Demonstrated experience managing social media platforms and digital communications (e.g. Instagram, Facebook, LinkedIn), with an understanding of increasing audience reach and engagement and performance metrics.
- Experience creating and scheduling content across multiple platforms.
- Experience using AI and digital productivity tools.
- Strong written and verbal communication skills, exceptional content writing and editing skills.
- Experience using CRM, email marketing and marketing automation systems.
- Strong organisational and project coordination skills.
- Experience analysing communications and digital performance metrics.
- High proficiency with Wordpress, Hubspot, Mailchimp, Canva, Photoshop, Microsoft Office, digital automation tools, and CRM platform
- Working knowledge of video editing tools for creating short digital content.
- Demonstrated experience managing multiple projects independently (including tracking deliverables, timelines, or reporting)
- Ability to work flexibly and adaptively in a small, fast-paced not-for-profit team environment

Desirable:
- Prior experience in a not-for-profit, women’s health, or research-related setting
- Understanding of digital accessibility, data ethics, or privacy standards
- Experience supporting conferences, events or advocacy campaigns.
- Understanding of women's health and health promotion.
