Primary Objective

The primary objectives of this role within CAWLS is;

  • To ensure all reception point of contact is efficiently and effectively handled and ensure all clients are welcomed in an appropriate manner.
  • To provide quality administration services to support the general office functions and the legal team.
  • To assist in creating a bright and safe future for all women and children, helping them to live with dignity and respect, free from all forms of violence and abuse.

Key Duties

  • Greeting clients and other visitors in a welcoming and appropriate manner.
  • Answering the phone, relaying messages and making appointments for clients.
  • Intake procedures including conflict checks of all clients and other parties.
  • Data entry in the CLASS system.
  • Maintaining email/mail register.
  • Maintaining client files and filing of other documents.
  • Administration tasks as required to efficiently run the reception area.
  • Administrative assistance to other members of staff as required or otherwise as directed by Business Manager.

General

  • Undertake training/professional development in consultation with the Business Manager.
  • Participate in regular staff and supervision meetings.
  • Participate in annual performance appraisal.
  • Maintain a teamwork approach at all times.
  • Other relevant duties as directed.

Selection Criteria

Essential

  • High level of customer service and previous reception and office administration experience including a high level of written and oral communication skills.
  • Demonstrated computer literacy and proficiency in the use of a computerised database and other computer software programs including Word, Excel and email.
  • Strong commitment to cultural safety when assisting women from diverse cultural backgrounds including Aboriginal women.
  • Demonstrated understanding of confidentiality and the ability to be discreet.
  • Adopt a client orientated approach including the ability to effectively manage and prioritise workloads and to show initiative in the workplace.
  • Demonstrated experience in working both autonomously and in a team environment to contribute to the team’s effectiveness.
  • Current NT Driver’s License, NT Ochre Card & Criminal History check (or the ability to obtain).

Desirable

  • Previous experience working in a community legal service.
  • Knowledge and understanding of the issues women face in seeking access to justice particularly aboriginal women and those whose first language is not English.
  • Trauma informed training.
  • Manual driver’s license.

  • Support and demonstrate CAWLS values and ethics
  • Act at all times in accordance with CAWLS Code of Conduct, confidentiality agreement and policies
  • Comply with CAWLS Work Health Safety Policies and practices
  • Support a child safe organisation, undertake a police check prior to commencement and hold a current NT ochre card at all times
