ABOUT THE ROLE

We are so excited to offer an opportunity for an Operations Manager to join our team! In this role, you will work with the CEO, Board of Directors and administration team to ensure the organisation successfully meets all workplace, financial, funding, administrative, and regulatory requirements, on schedule and budget.  

The Operations Manager role will best suit someone who understands the shifting priorities and grassroots nature of the organisation and has a practical understanding of your own time management process to best suit the day-to-day needs of the team and the organisation’s objectives. 

This role requires someone who can approach their own role strategically and manage their time to ensure that they get to progress each area of accountability (e.g. finance, governance, project support) to best service the bigger picture. You will be in strong communication with the CEO, which is a critical relationship that informs the understanding of direction which you’ll have the knowledge and initiative to translate into operational tactics.

This position will be located in North Melbourne and offers flexibility regarding work hours, with the possibility of negotiating a 0.4FTE workload spread across 2-5 days per week.

Core responsibilities

Working closely with the CEO, the Operations Manager is responsible for:

  • Overseeing the efficient and comprehensive management of the organisation’s day-to-day business operations and administration, 

  • Developing and managing Body Safety Australia’s annual operational budget to support the company’s strategic goals, 

  • Managing the financial administration of the company, ensuring that income and expenditure are within budget and that sufficient revenue is generated to sustainably support the company’s ongoing operations. 

GOVERNANCE 

  • Maintain compliance requirements for the organisation’s legal, insurance and charity status interests,  
  • Develop and implement required policies and procedures, 
  • Support the application, execution and acquittal of grants, advocacy, and government relations.  

FINANCE 

  • Contribute to development, execution, maintenance and tracking of organisational budgets and secure achievement of financial targets,
  • Processing of accounts payable and oversight of accounts receivable processes, including managing the escalation of outstanding invoices,   
  • Manage relationships with financial suppliers e.g. accountant, auditor.  

HUMAN RESOURCES 

  • Manage administration team members in attendance to operational targets,  
  • Support team members with performance management, KPIs, conflict resolution and positive workplace culture initiatives,
  • Lead recruitment, onboarding and offboarding processes, including optimisation activities,
  • Maintain regular internal communication processes and direct policy/process initiatives,
  • Process payroll, leave applications, travel claims and reimbursements.   

Additional miscellaneous tasks as negotiated to support the organisation’s smooth operations.

We're looking for people who:

  • Are genuinely passionate about being change makers and being part of the prevention of harm towards children,
  • Have an understanding of primary prevention education and the critical issues associated with sexual and family violence, and an understanding of child protection practices and compliance,
  • Enjoy breadth in their job, and leap at the chance to contribute diverse career skills, 
  • Understand the value of administration and takes a strategic approach to operations, 
  • Are an excellent communicator with great written and phone skills, 
  • Are familiar with the responsibilities of executive leadership and governance and wants to form a strong relationship with leaders,
  • Have a desire to learn, share knowledge and support a team, 
  • Are experienced in the areas of governance support, finance, office management, and human resources, particularly in education consulting and/or non-profit organisations,
  • Have a tertiary qualification/s in business management (or working towards one) or over 3 years’ relevant experience,
  • Have a current Working with Children Check and agree to provide a police check.
