The Senior Administration Officer is responsible for the efficient day to day administration of the Australian Literacy & Numeracy Foundation. The role provides high level administrative, operational and executive support across the organisation, ensuring systems, processes and office operations enable staff to deliver high quality programs and partnerships.
Key responsibilities
Executive Support
- Provide executive support to the CEO, including diary management, travel and meeting coordination.
- Assist in maintaining accurate organisational records, registers, and governance documentation.
- Assist in the preparation of materials for leadership and committee meetings, including agenda, briefing papers and minutes.
Office Operations
- Maintain organisational policies, templates and procedures.
- Liaise with ALNF's IT service provider, coordinating support and communicating IT policies to staff.
- Ensure compliance and HR documentation remains current.
- Coordinate onboarding and off-boarding of staff.
Program and Partnership Administration
- Provide administrative support across ALNF programs.
- Coordinate logistics for and support workshops, events and volunteer activities.
- Coordinate travel for ALNF team members.
- Maintain CRM and database accuracy.
- Assist with reporting and presentations for funding partners.
- Assist with updates to the ALNF website.
- Respond to general donor and partnership enquiries.
- Assist with grant acquittal administration and record keeping.
Systems and Continuous Improvement
- Identify opportunities to improve organisational systems and workflows.
- Manage subscriptions and organisational software.
- Develop administrative processes that improve efficiency across the organisation.
- Maintain document management systems.
Skills and experience
- Significant experience in administration, office management or operations.
- Excellent organisational and time management skills.
- Demonstrated experience using Microsoft 365, CRMs and cloud based systems.
- Strong written and verbal communication.
- High attention to detail.
- Ability to manage competing priorities.
- Experience working in the not for profit sector desirable.
