Are you highly organised, detail-driven and confident juggling competing priorities in a fast-paced environment? Dr Sophie Scamps is seeking a Diary Coordinator to play a pivotal role in supporting the effective planning and management of her time.

Reporting to the Deputy Chief of Staff and working closely with the Member and Chief of Staff, you will manage and coordinate the Member’s diary, ensuring appointments, meetings, events and travel are efficiently scheduled and aligned with strategic priorities.

You will be the key liaison between the office and the community, working with constituents, stakeholders, local organisations and parliamentary colleagues to facilitate meaningful engagement.

This is a part-time position (4 days per week) based in the Mackellar electorate office, with occasional local travel and flexibility required during parliamentary sitting weeks and peak periods.

Key responsibilities include

Diary and Scheduling

  • Manage and maintain the Members diary
  • Coordinate incoming meeting and event requests
  • Respond to invitations as directed by the Member and liaise with organisers accordingly
  • Ensure accurate, complete and well-prepared diary entries and briefing materials
  • Coordinate with staff to develop briefing materials and speaking points as necessary
  • Schedule internal meetings and ensure adequate preparation time is built into the diary

Travel Coordination

  • Arrange travel, accommodation and transport bookings for the Member
  • Manage travel schedules and maintain accurate records in the diary
  • Process travel expenses for the Member and ensure compliance with relevant guidelines

Office and Team Support

  • Assist with team meeting coordination, agendas and note taking
  • Support internal communication and collaboration across the team
  • Contribute to improving office systems, processes and procedures
  • Maintain accurate records of the Members attendance at meetings and events

Renumeration and Employment Conditions

Renumeration for this role is $74,537 to $78,911 FTE plus an employer superannuation contribution of 15.4%.

Parliamentarians employ staff under the Members of Parliament (Staff) Act 1984 (MOP(S) Act). Terms and conditions for all Electorate Office staff conditions are outlined in the Commonwealth Members of Parliament (Staff) Enterprise Agreement 2024-27.

Applicants should note the following:

  • An initial probationary period of three months will apply and may be subject to extension.
  • The successful applicant may be required to undergo a National Police History Check.
  • Staff may be subject to automatic cessation triggers in accordance with Section 14 of the MOP(S) Act.
  • The successful applicant will be required to comply with their obligations under the Behaviour Code of Standards.
