Organisational Environment

YAY was established by youth and community leaders to offer support to marginalised disadvantaged youth consistently falling through the cracks. YAY is a non-profit organisation that assists disadvantaged multicultural Australian youth to re-engage with their communities. YAY aims to bridge the gap that currently exists between different government organisations, non-profit agencies and other service providers. Since 2014, YAY has grown from a youth-led committee into a not-for-profit organisation with a diverse and multidisciplinary board and a committed team.

Position Description

The primary responsibility of the Employment Officer is to administering YAY’s employment programs, supporting the various outreach/activities/workshops and forums. The incumbent works closely with volunteers and other program facilitators in the delivery of this program.

Key Duties and Responsibilities

  • Administration of jobseekers by providing support through their employment journey as directed by the Programs Support Coordinator.
  • support the development of individual employment pathway plans to maximise employment outcomes.
  • Provide administrative support to ensure smooth delivery of program objectives.
  • Registers new clients and supports the administration of associated protocols related to the various programs.
  • Liaises regularly with participants to support them through the various stages of recruitment.
  • Administers capacity building programs.
  • Support the development of partnerships with community agencies and relevant stakeholders.
  • Administers volunteers and placements specific to Employment Programs.
  • Assist jobseekers to obtain sustainable employment by placing them into activities such as education, training, work experience activities and non-vocational assistance.
  • Monitor jobseekers attendance at appointments and participation in activities such as employment, education, training and work experience.
  • Reviewing jobseekers progress towards overcoming identified vocational and non-vocational barriers.
  • Ensure all jobseeker records, data and contact hours are recorded in both the electronic and hard copy form on company and government information systems.
  • Ensure the confidentiality and security of records.
  • Maintain and record reporting statistics on a monthly basis to supervisor.
  • Participate in individual, team or site meetings, conferences and workshops.
  • Ensure that records of complaints and resolutions are agreed to and maintained on the customer file records.
  • Understand and acknowledge duty of confidentiality to ensure they will not at any time disclose to any unauthorised person confidential information of the employing organisation that comes to their knowledge during the course of their employment.
  • Support the Programs Support Coordinator to coordinate and complete reports for program funding bodies.
  • Undertakes outreach work supported and in collaboration with other YAY team members.

  • Ensure all job seekers are engaged in an activity;
  • Maintain Fortnightly appointments for all job seekers;
  • Promote and assist with post placement support for job seekers and employers;

  • Contribute to ensuring a safe working environment for co-workers and visitors;

Selection Criteria

Skills and Attributes:

  • A friendly, positive and professional attitude in dealing with clients and staff, including good verbal/written communication.
  • Demonstrated computer literacy skills, including the Microsoft suite.

Knowledge and Experience:

  • Demonstrated ability to work with people of all ages and backgrounds and an empathy with disadvantaged and long term unemployed people.
  • Demonstrated experience working in administration and or client services.
  • Experience in the employment sector desirable.
  • Experience working with multicultural/youth and or community sector environment is desirable.
  • Experience working with multiple stakeholders.
  • Ability to work independently and in a team environment.
  • Ability to be adaptable and to learn new skills quickly.
  • Understanding of the needs of people with disability, injury or condition is desirable.
