As Executive Assistant to the CEO, you will play a pivotal role in supporting the effective leadership and day-to-day operations of the Executive Office. Working closely with the CEO, Board members, senior leaders and key stakeholders, you will provide high-level executive, governance and administrative support, coordinate organisational priorities, and help ensure the smooth delivery of strategic initiatives. About the Role
Reporting directly to the Chief Executive Officer, the Executive Assistant provides high-level executive, governance and administrative support to enable effective leadership, decision-making and organisational performance across Mungabareena Aboriginal Corporation. The role works closely with the CEO, Board members, senior leaders and key stakeholders to coordinate executive priorities, support governance processes, manage organisational communications and ensure the efficient operation of the Executive Office.
A key focus of this role is coordinating executive workflows, managing competing priorities, and supporting the delivery of strategic initiatives and organisational objectives. Through professional judgement, discretion and strong organisational capability, the Executive Assistant helps ensure Board and leadership activities, stakeholder engagement, reporting requirements and executive operations are delivered efficiently, accurately and in a culturally safe and responsive manner.
Key Responsibilities
As Executive Assistant to the Chief Executive Officer, you will:
- Provide high-level executive support to the CEO, ensuring effective management of executive priorities, workflow, correspondence, scheduling, and day-to-day operational requirements within a dynamic and fast-paced environment.
- Coordinate Executive Office operations and organisational priorities, managing competing demands, tracking actions, monitoring deadlines, and supporting the timely progression of strategic and operational initiatives.
- Manage executive communications and stakeholder engagement, serving as a key point of coordination between the CEO, Board members, senior leaders, government agencies, funding bodies, partner organisations, community representatives, and other stakeholders.
- Prepare high-quality executive documentation, including reports, briefings, presentations, correspondence, submissions, meeting materials, and organisational communications, ensuring accuracy, professionalism, and attention to detail.
- Support strategic projects and organisational initiatives, providing coordination, planning, monitoring, research, stakeholder liaison, action tracking, and reporting to assist the achievement of organisational objectives and priorities.
- Exercise sound judgement and maintain confidentiality, managing sensitive organisational, governance, employee, and stakeholder information with professionalism, discretion, integrity, and a high degree of trust.
- Drive administrative excellence and continuous improvement, identifying opportunities to strengthen executive support systems, streamline processes, enhance information management practices, and improve the effectiveness of Executive Office operations.
- Coordinate organisational communication and cross-functional collaboration, ensuring information, requests, decisions, and actions arising from the CEO and Executive Office are effectively communicated and progressed across programs and departments.
- Promote culturally safe and community-centred practice, ensuring all responsibilities are undertaken in a manner that respects Aboriginal Community Controlled principles, supports self-determination, and contributes to positive outcomes for Aboriginal and Torres Strait Islander communities.
About You
You are a highly organised and proactive executive support professional with experience providing high-level assistance to senior executives, leaders or Boards. You have a proven ability to manage competing priorities, coordinate complex workflows, exercise sound judgement and maintain professionalism when handling sensitive and confidential information. You are an exceptional communicator who builds strong relationships with internal and external stakeholders, thrives in a fast-paced environment, and takes pride in delivering accurate, high-quality work. Key Selection Criteria
Essential:
- Proven experience in executive assistance, senior administration, office coordination, meeting coordination or confidential administrative support.
- Strong organisational, time management, written communication and stakeholder liaison skills.
- High level of discretion and professionalism.
- Proficiency in Microsoft Office, records management, document formatting, meeting coordination and administrative systems.
Desirable:
- Identify as an Aboriginal and/or Torres Strait Islander.
- Experience working within an Aboriginal Community Controlled Organisation (ACCO).
- Relevant qualification in Business Administration, Executive Support or a related discipline, or an equivalent combination of qualifications, skills and demonstrated experience.
- Experience supporting executive meetings, confidential correspondence, senior-level administration or organisational coordination.
- Demonstrated experience providing high-level executive support, including diary and inbox management, briefing preparation, coordination of meetings, tracking actions, and follow-up of outcomes.
- Experience in coordinating executive meetings and administrative processes, including preparing agendas, taking minutes, maintaining records, and liaising with internal and external stakeholders.
- Strong capability in administration, systems, and documentation management, including maintaining registers, document control, records management systems, and preparing high-quality business documents.
- Experience providing operational and logistical support, including procurement processes, purchase orders, invoice reconciliation, and coordinating travel, events, catering, and related organisational requirements.
