About this Position

An exciting opportunity has opened up for a for a newly established role in the People & Culture team as a People & Culture and Communications Coordinator.

The People & Culture and Communications and Coordinator plays a vital role in supporting Wayside's mission of creating a community with no 'us and them'. This position is responsible for coordinating information flows and providing general HR support across all teams, ensuring the efficient delivery of activities and programs for the People and Culture team. By maintaining HR systems and employee records, this role facilitates Wayside’s strategic investment in developing its people and fostering an inclusive, service-oriented culture.

Key Responsibilities

System Administration

  • Administer the human resources component of Employment Hero, the Wayside Human Resources Information System (HRIS) and Litmos, Learning Management System (LMS) by managing the data collection, maintenance, and the integrity of the system.
  • Contributes to People and Culture process improvement activities recommending improvements using technological functionality and participating as a member of a team in the implementation of improvements,
  • Ensure that Wayside meets immigration law obligations by conducting visa checks via VEVO for all new staff, record related documentation and track changes and currency for staff with restricted work rights.
  • Support the Volunteer Coordinator and Volunteer Lead with the administration of better impact.

Administration

  • Co-ordinate and manage on-boarding and off-boarding processes for employees, contractors and temporary staff, including scheduling inductions sessions.
  • Proactively contribute to the development, updating, and maintenance of HR correspondence, letters, documentation, forms, templates etc. to ensure the implementation and maintenance of best practice HR procedures and compliant records management.
  • Monitor and track completion of activities such as induction programs and probation reviews, and undertake administration related to cyclical people activities.
  • Co-ordinate processes, documents and records for employee movements and changes including producing and updating organisational charts.
  • Coordinate the maintenance of staff Working with Children Checks and verify checks online throughout the employee lifecycle.
  • Be accountable for the accuracy, integrity and compliance of all People and Culture HRIS data and business process administration relating to delegations, authorities and approvals.

Communication Coordination

  • Prepare and coordinate the Wayside monthly staff and volunteer newsletter/s.
  • Coordinate all staff meetings and huddles including room and IT set up.
  • Co-ordinate People and Culture events and training sessions and induction.
  • Support the Head, of People and Culture and Senior Manager P&C in the preparation of agendas and presentations.
  • Prepare poster and other marketing material to advertise events.
  • Communicate weekly staffing movements to the whole of organisations.
  • Support the communication activities to the volunteer cohort and respond to volunteer queries.
  • Coordinate the maintenance of internal and external feedback and complaints mechanisms.
  • Update the P&C, Safety, and volunteer pages on the intranet.

About you

  • Highly developed written and oral communication skills
  • Administration experience with a Human Resources Information System or similar
  • Strong coordination skills supportive of a multi-tasking environment
  • Previous experience in a HR environment is high desirable
  • Ability to demonstrate initiative in BP improvement and implementation highly desirable
  • Strong team player attitude and commitment to collaborative work practices.
  • Willingness to work within the ethos of Wayside vision, and values.
  • Time managements skills and the ability to continually prioritise and manage a high-volume work-load.
  • High attention to detail and analytical abilities are preferable.
