About the Opportunity

Tradewind Australia is proud to be partnering with a respected organisation within the social and community services sector on an exciting opportunity for an experienced Senior Project Coordinator to join a time-critical project supporting the transition of client records and data to another service provider.

This is a hands-on role where you'll take ownership of the project from the outset, establishing processes, coordinating the transfer of sensitive client records and ensuring data is accurate, organised and transferred safely and efficiently.

The Role

Working closely with the Head of Major Projects and key stakeholders, you'll coordinate the end-to-end transfer of client files and associated data to another organisation.

You'll be responsible for establishing the processes needed to manage the transfer, ensuring records are clean and accurate, identifying and resolving issues, and keeping the project on track against tight deadlines.

You'll initially work independently to establish the project and processes, with an Administration Support Officer joining the project a few weeks later to provide additional support.

Key responsibilities will include:

  • Coordinate the end-to-end transfer of client files and associated data to a receiving organisation.
  • Develop and implement clear processes to support the efficient and accurate transfer of records.
  • Review, clean and organise client data to ensure records are complete and accurate.
  • Manage sensitive client and clinical documentation in line with privacy and confidentiality requirements.
  • Support the management of client consent and related follow-up activities.
  • Identify data gaps, discrepancies and project risks, developing practical solutions to resolve issues.
  • Work with internal stakeholders and the receiving provider to coordinate the transition.
  • Maintain accurate project records and documentation.
  • Monitor project progress and ensure key milestones and deadlines are met.
  • Ensure appropriate governance, compliance and record-retention requirements are considered throughout the project.
  • Work independently and manage competing priorities in a fast-paced, time-sensitive environment.

About You

We're looking for someone who can hit the ground running and take ownership of a project with minimal supervision.

You will ideally have:

  • Proven experience coordinating and delivering projects from start to finish.
  • Experience working with sensitive client, health or clinical records.
  • Strong data management and record-keeping skills.
  • Experience developing or improving processes.
  • Excellent attention to detail and a high level of accuracy.
  • Strong analytical and problem-solving skills.
  • The ability to work independently and confidently manage competing priorities.
  • Strong communication and stakeholder management skills.
  • Experience in healthcare, community services, mental health, allied health or a similar environment is highly desirable.
  • Familiarity with health or medical administration systems, ideally including Helix, will be advantageous.

Most importantly, you'll be someone who is organised, proactive and solutions-focused. You're comfortable stepping into a project, figuring out what needs to be done and getting on with it.
