THE OPPORTUNITY

The Operations Manager will collaborate closely with the CEO and team to support a range of administrative and reporting outcomes. The opportunity will suit an experienced Operations Manager with excellent organisation, fiscal management and communication skills. They will be a dedicated individual with an ability to work across team priorities, financial and grant reporting, database management, HR and have a creative solution mindset. Critical to this role is initiative, a collaborative spirit and flexible working style.

Remote working / Flexible arrangements with physical events and some administration required around Sydney (NSW).

KEY RESPONSIBILITIES AND DUTIES

Reporting to the CEO you will:

Strategic Planning and Reporting

  • Collaborate with the CEO and team of Directors on strategic implementation, Board and funding reports, Company Secretary duties, and consistent communications, ensuring RR maintains and strengthens its position at forefront of the literary and creative industries

Fundraising

  • Collaborate with the CEO and Development Director to support financial management, funding applications and acquittals with relevant team members
  • Develop and maintain CRM (Hubspot) with Development Director and Administrative Coordinator

Financial Operations

  • Coordinate budgets, audits and financial reporting for Board and funders as required
  • Oversee processing of accounts, invoices, receipts, BAS, payroll and expenses (Xero)
  • Manage the organisation’s lease agreements, equipment and operational expenses

Administration

  • Oversee general administration including office cleaning, equipment, IT support, program, travel and key scheduling meetings, stock levels, postage and general enquiries (phone and email)
  • With Administration Coordinator, manage and maintain internal systems, software subscriptions, IT and tech requests and equipment to ensure that the RR team are resourced to perform in their respective roles

Project Support

  • Provide administrative support to the CEO and Directors as required
  • Maintain reporting calendar for all projects and events
  • Prepare and provide timely reports to Board and relevant team members
  • With the CEO and team of Directors, oversee evaluation of projects with external contractor (Culture Counts)

Staff

  • Provide support, coaching and oversee work-flow systems to ensure staff achieve individual and company KPIs
  • Coordination of administrative and project timelines to ensure that set deadlines are met
  • With the CEO and team of Directors, manage coordination of Human Resources including staff contracts and policies (with external support) timetables, supervision, recruitment, training and volunteers, procedures and general operations

General

  • Ensure the artistic essence of RR is woven into all poetic projects and communications while contributing to a positive working environment for staff, attending weekly team meetings, project and external meetings as required

Essential

  • Minimum 5 years industry experience in arts and cultural organisations or similar Operations roles
  • Experience with CRM (Hubspot or similar), budget management experience and knowledge of Xero
  • Ability to work independently, with initiative and to deadlines
  • Outstanding interpersonal, written, communication and organisational skills
  • Demonstrated capacity for creative thinking, flexibility in changing creative environments, a preparedness to experiment with innovative approaches
  • Drivers licence, access to vehicle and willingness to travel for meetings and events as required
