Sony Foundation is seeking a motivated and detail-oriented full-time Events & Programs Coordinator to join our purpose-driven team on a max-term contract (up to 15 months).

Reporting to the General Manager, this role will primarily support the planning and delivery of Sony Foundation’s annual calendar of high-profile national fundraising events and provide administrative support to our national youth programs, including You Can Stay, Children’s Disability Holiday Camps, and other initiatives. The role will support the administrative day-to-day operations of the Foundation and enable you to contribute to programs that directly support young Australians with cancer, disability, or disadvantage.

We're a small team so we're looking for someone with a hands-on approach to jump in and hit the ground running!

Key Responsibilities

Fundraising & Events Support

  • Assist in the planning, execution and growth of the 4Ward Series of Events, currently held across Sydney, Melbourne, Brisbane and Adelaide. Responsibilities include:

    • Coordinate pre-event logistics including preparing event kits, arranging couriers, crew catering, general event ordering and acquiring gift bag items;
    • Assist with the development of creative assets including invitations, digital platform content, EDM assets and event day screen content;
    • Support the setup and management of digital platforms and project management tools;
    • Coordinate event volunteers, including recruitment, through corporate partnerships and manage the volunteers event fundraising elements
    • Support the development of Sony Music Artist performance briefs;
    • Manage Guest RSVP and communication;
    • Travel Bookings;
    • On-site event support: Bump in, event show and bump out (must be flexible with interstate travel requirements);
    • Coordinate post-event tasks including gifting, prize fulfilment, partner impact reports, and general event wrap up.
    • Assist in the planning and execution of the Corporate Partner Thank You Event held annually.
    • Collaborate with the Sony Foundation team to identify and engage potential donors, sponsors, and corporate partners aligned to health-related causes;
    • Manage corporate partner and beneficiary fundraising and awareness activities
    • Support community fundraising initiatives such as City2Surf, as well as individual fundraising initiatives, with administrative support including fundraising website set up and providing collateral for individual promotion of activity;

Program Support and Delivery

  • In collaboration with the General Manager, support with You Can Stay patient referral approvals and general support, ensuring that the process is efficient, timely, and streamlined for families and healthcare providers;
  • Work closely with Sony Foundation’s You Can Stay accommodation partner to ensure a smooth booking process;
  • Assist the Event Manager with coordination of workshops and activities as part of the Musicians Making a Difference STAR program supported by Sony Foundation;
  • Support Sony Foundation’s Children’s Holiday Camp program through general administration workload, corporate partner experiences, and Christmas gift giving activities;

Administrative Support

  • Answer team phone line & manage incoming emails to the team inbox;
  • Manage the foundation’s CRM database with the support of the Event Manager;
  • Provide support to the Event Manager with event project management timelines;
  • Provide support to the Communications Officer with social media, event programs, and bi-annual magazine design and story elements;
  • Manage general website updates as required;
  • Provide general administrative support to the CEO and General Manager

Skills and Experience

  • 2-3 years experience in events, marketing, media or project coordination
  • Strong organisational and administrative skills, with excellent attention to detail and ability to manage multiple priorities and deadlines
  • Professional written and verbal communication skills, with confidence liaising with a range of stakeholders including corporate partners, donors, suppliers and beneficiaries
  • Confident working both independently and as part of a small collaborative team
  • Confident working onsite in fast-paced event environments and comfortable with hands-on tasks and occasional interstate travel
  • Empathetic, mature and respectful when interacting with families and healthcare professionals
  • Social media fluency across Instagram, Facebook and LinkedIn; basic content creation and scheduling skills (Canva or similar tools a plus)
  • Competency in using digital event platforms and CRM systems desired
  • An eagerness to get involved, learn, adapt and grow within a fun and collaborative team environment
  • Tertiary qualification or experience in events, communications, marketing, media, or not-for-profit is highly regarded
  • The role requires flexibility with inter-state event travel at various times of the year and working hours leading up to a major event may be increased dependent on workload
  • Applicants must have full-time working rights in Australia.

The successful candidate will be an advocate of the work that charities, such as the Sony Foundation do to provide real support for vulnerable groups in our community. As such any previous work experience with a not-for-profit organisation or volunteer work will be highly regarded but is not essential.
