About the Role

This is a dynamic and pivotal role that provides secretariat and administrative support to the CEO.

The role is critical in ensuring a high degree of professional co-ordination and support to the CEO, executives and to the operational committees. The Executive Officer must be able to work under pressure, at times, to handle a wide variety of activities including confidential matters with discretion. The position is part time 30.4 hours over 4 days per week by mutual agreement with the CEO.

The key roles and tasks are, but not limited to:

  • Assist the Executive Administrator, with coordination of daily business for the CEO by managing appointments and organising meetings.
  • Coordination, preparation, and distribution of agendas, papers, and minutes for various meetings and operational committee meetings.
  • Assist CEO with Special Projects from time to time.
  • Preparation of confidential correspondence on behalf of the CEO and executive team.
  • Cover the role of the Executive Administrator in their absence. This may require some out of hour's work.
  • Assist with freedom of information requests.

Selection Criteria

Essential skills and attributes the successful applicant will demonstrate:

  • Highly developed written and verbal communication skills, including the ability to produce a broad range of quality written material for a variety of audiences.
  • Intermediate to advanced Microsoft office experience, including Word, Excel and PowerPoint.
  • Flexibility to work outside business hours when needed.
  • Experience in corporate governance including preparation of Board agendas, papers and meeting minutes.
  • Previous experience in an Executive Assistant, Personal Assistant or Executive Officer role
  • Exceptional accuracy and attention to detail and an ability to work autonomously.
  • Highly developed organisational skills, including the ability to set priorities and complete tasks to deadlines.
  • Demonstrated ability to maintain confidentiality.
  • Capability to build and maintain relationships with Board members, management, staff and stakeholders.
