Sydney Children’s Hospitals Foundation (SCHF) is all in for kids’ health. We exist to promote charitable investment in the prevention and management of childhood illness, with a focus on kids and families receiving treatment or care in services provided by NSW’s network of children’s hospitals and paediatric health services.

The Coordinator supports the Planned Giving Team with the administrative tasks associated with donor stewardship, estate administration and marketing. This position is five days a fortnight job share for a minimum of 12 months.

Specific Responsibilities:

Gift in Wills Program

  • Assist in the implementation of the Planned Giving program.
  • Manage collateral production as required.
  • Pull reports from the CRM database as required by the team.
  • Manage briefings for Planned Giving campaigns.
  • Other responsibilities and duties as assigned; some evening and weekend work may be required.
  • Ensure all activities undertaken are approved and meet ethics and brand guidelines.

Donor Management and Teamwork

  • Support the Planned Giving team to manage administrative aspects of the donor journey engagement and communication.
  • Follow-up information requests from potential gift in Wills donors in a timely, professional, and sensitive manner.
  • Manage the team meetings work in progress document.
  • Coordinate and maintain notes from internal meetings.
  • Assist with the Gifts in Wills recognition program.
  • Support others to achieve KPIs where possible.
  • Actively role model and reinforce the values of SCHF.

Estate Administration

  • Assist with the management of realised estates under direction of the Head of Planned Giving.

Selection Criteria

  1. Demonstrated ability to work effectively as part of a team and to collaborate across teams to achieve enhanced outcomes.
  2. High level computer skills in the Microsoft Office suite (particularly in Word, Excel, and Outlook).
  3. Good written communication skills.
  4. Experience using CRM databases.
  5. Ability to adapt to changing circumstances, work processes and working hours.
  6. Excellent oral communication skills and the ability to interact with various demographics and backgrounds.
  7. Strong administration and organisational skills, and an ability to manage time and project deliverables effectively.
  8. High level computer skills in the Microsoft Office suite (particularly in Word, Excel, and Outlook).
  9. Proof of Covid-19 vaccination is mandatory for all SCHF employees
  10. Experience in or an understanding of a not-for-profit/ fundraising organisation.
