As an independent not‑for‑profit organisation, part of a global network of 360+ Houses, we help families with ill or injured children access the medical care and resources they need to focus on what truly matters; each other.

The Role

We are seeking a highly organised and purpose-driven Executive Team Assistant to support our Executive Team here at Ronald McDonald House Western Australia.

What You’ll Bring

Essential:

  • Significant experience in an Executive Assistant, Team Coordinator or senior administrative role
  • Experience supporting senior leaders or executives, ideally across multiple stakeholders
  • Proven experience managing confidential and sensitive information with discretion
  • Experience coordinating meetings, reports, and business documentation
  • Strong experience in calendar, email and workflow management
  • Ability to manage competing priorities and deadlines in a fast-paced environment

Desirable:

  • Certificate IV or Diploma in Business Administration, Business Management or similar
  • Experience supporting a CEO, Executive Team and/or Board of Directors
  • Experience preparing or coordinating Board and Executive meeting papers
  • Experience producing monthly reports, dashboards or management reports
  • Experience within the Not-for-Profit, health or community services sector
  • Exposure to financial administration processes (e.g. credit card reconciliation, invoicing)
  • Experience supporting cross-functional projects or organisational initiatives
  • Training or exposure to governance, Board processes or corporate reporting. Project coordination or business administration training. Experience using reporting or dashboard tools (e.g. Power BI, Excel advanced functions)

Key Responsibilities

Executive and CEO Support

  • Provide administrative support to the CEO and Executive Managers
  • Prepare high-quality briefing materials, agendas and presentations
  • Coordinate Executive Team priorities, ensuring alignment of key deliverables and timelines

Stakeholder Communication

  • Support communication with internal and external stakeholders
  • Draft and collate executive correspondence and presentations

Board and Executive Reporting

  • Collate and distribute Board and Executive meeting packs

Reporting and Data Support

  • Produce monthly dashboard reports
  • Improve reporting processes
