When people talk about the Flying Doctor, thoughts generally turn to red-bellied planes undertaking rescue missions in the Outback. However, the current Victorian story is one that reflects today's challenges for people living in remote and rural communities across the state. While we do still transport people by air and by road, this work is complemented by a range of primary health services that address the most common issues people living in country Victoria face when accessing health care.

About the Role

The Rostering Services Administrator supports the effective scheduling of our field-based workforce across Regional Victoria, ensuring service delivery requirements are met while balancing operational needs, cost efficiency, and staff wellbeing. As part of our fast-paced Rostering Services Team, you will coordinate staff rosters, respond to real-time scheduling changes, and maintain accurate time and attendance records. This role can be based at any RFDS Victoria branch location across Regional Victoria and Metropolitan Melbourne.

Key responsibilities include but not limited to:

  • Develop, maintain and adjust employee rosters to meet service delivery requirements, ensuring compliance with relevant awards, EBAs and business rules.
  • Coordinate workforce planning activities, including leave management, training schedules and compliance requirements.
  • Proactively identify and resolve rostering and resourcing issues in partnership with operational teams.
  • Liaise with managers, supervisors and employees to support effective roster planning and workforce utilisation.
  • Manage real-time roster amendments and timesheet updates to ensure workforce records remain accurate and up to date.
  • Monitor rostering and workforce management systems, identifying and resolving data or process discrepancies.
  • Support workforce forecasting and planning activities to identify future staffing and capability needs.
  • Contribute to reporting, continuous improvement initiatives and the maintenance of accurate workforce data and processes.

To be successful, you will need:

  • Strong organisational skills with the ability to manage multiple priorities, coordinate competing demands, and maintain accurate records in a fast-paced environment.
  • Excellent written and verbal communication skills, with the ability to build positive relationships and work collaboratively with a range of stakeholders.
  • A high level of attention to detail, ensuring accuracy across rosters, timesheets, payroll-related information and workforce data.
  • Strong computer literacy, including proficiency with Microsoft Office and SharePoint; experience with EmpLive and TechnologyOne is highly regarded.
  • The ability to quickly learn new systems and technologies and confidently troubleshoot issues as they arise.
  • Experience managing staff timesheets, time and attendance records and/or payroll processes, ideally within a 24/7 operational environment.
  • Demonstrated experience coordinating complex administrative activities and managing competing deadlines.
  • Experience interpreting and applying rostering principles and Enterprise Agreement and/or Modern Award provisions.
  • Satisfactory completion of safety screening including a current Working with Children's Check, National Police Check, and the right to work in Australia.
