About the Role:
The Events & Catering Coordinator’s role is to support and assist the Events & Catering Lead and the broader NSW/ACT Engagement Team in end-to-end management of engagement events and our Food Truck & Catering social business unit. This is a fantastic opportunity for someone who loves being hands-on, enjoys building relationships, and gets energy from making things happen. In this role, you'll support the Events & Catering Lead in running OzHarvest’s Food Truck, Catering and Events program - managing bookings, coordinating events, nurturing client relationships, and getting out on the ground to deliver experiences that tell the OzHarvest story. This includes:
- Acquiring, establishing, and nurturing connections with new and existing external corporates, businesses and organisations, and acting as a key point of contact for corporate, business and external organisational stakeholders.
- Assisting to coordinate all Food Truck & catering activities, including revenue generating business and community programming with our charity agencies.
- Assisting business development activities and managing engagement supporters and clients.
You will be a passionate advocate for OzHarvest and help tell the OzHarvest story.
This is a three-day part-time role, preferably worked on Wednesdays, Thursdays, and Fridays.

Food Truck & Catering:
- Provide support to the Events & Catering Lead to deliver food truck & catering activities and events.
- Assist, plan, and execute Food Truck & Catering activities, including managing the calendar of events.
- Manage in-bound enquiries and convert new business and ensure the booking process runs smoothly for our clients.
- Educate customers about our program offerings and cross-sell program opportunities.
- Business development; seeking and identifying new opportunities through networking, generating new leads and prospecting, and accurate recording of this information into our CRM.
- Collaborate with National Marketing & Communications Team and other internal stakeholders to support marketing strategy, including developing, reviewing and using key business assets (including event packages, menus and social impact reports for external audiences, including public/consumer facing and partner-facing). This may include writing and producing business communications, and where relevant content creation and collation.
- Administration of both corporate and community programs under Food Truck & Catering designation, and support where relevant to other corporate programs, including community fundraising, cooking demonstrations and Food Drives.
- Support efforts to achieve revenue targets, deliver on the strategy, and work within and to budgets and plans.
- Meet and build deeper relationships with clients when they engage with OzHarvest activations.
- Liaise with charity agency clients (community facing) to facilitate booking process of Community Food Truck & events and collaborate with internal stakeholders, including the Community Connections Team and Agency Engagement Team.
- Maintain accurate records, including using our CRM (Salesforce).
Event Management:
- Assist, plan, execute and implement minor to major events (from small market stalls and
trade events to larger public events).
- Front of house engagement and liaising with stakeholders and participants on the ground to
build deeper connections and reinforce our magic.
- Assist in developing event documents using OzHarvest templates including run sheets, production schedules, briefs, and event manuals.
- Assist with event and campaign budget reconciliation.
- Hands on bump in and bump out of events.
- Liaise with suppliers to coordinate event services and bookings (e.g catering, signage, AV, printing etc).
- Collaborate with internal stakeholders, including Chefs, Warehouse Manager and Volunteers to effectively manage and deliver integrated engagement and event experiences for our corporates and other clients.
Engagement, Fundraising and Impact Activities:
- Provide support to the Engagement team to deliver engagement activities across NSW/ACT.
- Actively contribute to shaping and delivering our OzHarvest engagement strategy.
- Relationship management with our corporate and external clients before and during engagements and activations.
- Successfully manage the sales process through qualifying customer needs and budget, present appropriate solutions, negotiate and close new business. This includes cross-sell and upsell of other
opportunities.
- Partner with internal teams to onboard and integrate new clients and their business.
- Support and assist with key campaigns as set by OzHarvest, including support to local marketing and communications.
- Liaise with and support the NSW/ACT engagement team to create opportunities that will ensure effective, deep, and multi-level engagement with corporate supporters, including participation in events, corporate volunteering, regular giving, and pro bono support activities.
- Regular and ongoing communication about our initiatives and engagements to internal and external stakeholders.
- Ad Hoc duties as directed by Management.

Personal Specifications:
Qualifications:
- Bachelor's degree in business, event management, marketing, communications, or equivalent experience delivering and enabling a range of events.
- A valid Working with Children Check (WWCC) – or the ability to obtain this.
- A valid Police Check – or the ability to obtain this.
- Driver's licence.
Skills, Knowledge & Experience:
- 2+ years of sales and account management experience and/or events experience.
- Experience in delivering client-focused solutions based on customer needs.
- Hands-on experience in sales and events and the ability to deliver excellent customer experiences.
- Results-orientated team player.
- Demonstrated project management and problem-resolution skills.
- Strategic approach to researching, generating leads, cold calling, and following sales processes.
- Demonstrated digital skills including CRM software and MS Office (Salesforce and MS Excel in particular) as well as various other applications and tools.
Personal Abilities and Aptitudes:
- Action oriented with a drive for achieving revenue targets and growth.
- High energy and enthusiasm that can be felt through the phone.
