We are seeking an organised, proactive and customer-focused Business Support Officer to provide high-quality administrative and operational support across our Dandenong and Frankston offices.

About the Role

Reporting to the Business Support Lead, this position plays a vital role in ensuring the smooth day-to-day operation of our offices and supporting program teams to deliver exceptional services to children, young people and families. The role is based in Dandenong on Mondays and Frankston on Thursdays and Fridays, with regular travel between sites required.

Key Responsibilities

  • Provide high-quality administrative support to program teams.
  • Deliver exceptional front-of-house customer service and act as a key point of contact for stakeholders.
  • Coordinate office operations, facilities, supplies and maintenance requirements.
  • Manage incoming and outgoing mail and oversee PO Box administration.
  • Organise meetings, events, travel and accommodation arrangements.
  • Support onboarding and training of new staff.
  • Maintain databases, records and program information.
  • Provide technology and systems support to staff.
  • Prepare reports, presentations and supporting documentation.
  • Assist with financial administration including reconciliations, reimbursements and expenditure tracking.
  • Support audit preparation, compliance activities and continuous improvement initiatives.

About You

You will be an experienced administrator who thrives in a busy environment and enjoys supporting teams to achieve great outcomes. You will be flexible to work across both offices Dandenong on a Monday and Frankston – Thursday & Friday.

To be successful, you will have:

  • Previous experience in an administrative or business support role.
  • Strong customer service and stakeholder engagement skills.
  • Advanced Microsoft Office skills including Word, Excel, PowerPoint, Outlook and Teams.
  • Excellent organisational skills with the ability to manage competing priorities.
  • Strong written and verbal communication skills.
  • Experience preparing reports, presentations and documentation.
  • High attention to detail and commitment to quality.
  • The ability to work independently while contributing positively to a team environment.
  • Experience supporting financial administration processes is highly regarded.

Screening Requirements

The successful applicant will be required to complete satisfactory pre-employment screening, including relevant Police Checks and Working with Children Checks. A current driver's licence and access to reliable transport are essential.
