Your new job

The Executive Assistant will provide high level support to the Executive Director (ED) ensuring smooth running of the office of the ED at all times.

They will act as the principal contact point for external stakeholders including Ministerial and Parliamentary officers, senior government officials, partner organisations, members of the public and clients and families, and provide cover for the Executive Secretariat Officer as required.

You will:

  • Manage a busy and often conflicting diary with a range of activities including travel, events meetings and appointments
  • Support all administrative related activities including email management, formatting documents and preparing presentations.
  • Develop and maintain stakeholder relations by establishing a friendly and professional rapport with stakeholders Provide cover for the Executive Secretariat Officer as required
  • Identify and manage priorities and deadlines to ensure the smooth running of the ED and their office

What you’ll need:

You are passionate, energetic and determined to make a difference to health outcomes for young people. In addition, you will bring:

  • Previous experience working in a busy and often ambiguous environment as an Executive Assistant
  • Exceptional organisation skills with a passion for planning, organising and prioritising administrative tasks and system.
  • Managing competing tasks within tight timeframes and ensuring deadlines are met
  • Expert application of the Microsoft Office Suite package
  • Excellent interpersonal skills with the ability to establish friendly and professional rapport with a wide range of stakeholders
