About the Role

  • Located in Perth, hybrid working arrangements

  • Permanent Full time

Reporting to the NDS WA State Manager, the role covers a broad range of activities, including executive diary management, providing secretarial and communication support and the preparation of agendas, minutes, and other documentation. The position will assist in the coordination of a range of activities, such as committees, advisory groups, community of practice groups, forums, and events.

Responsibilities

  • Liaise with Ministerial office(s) and preparation of meeting papers and reports
  • Manage internal and external stakeholders’ relations with the State Manager’s office 
  • Manager all incoming and outgoing correspondence to the State Manager’s office including emails
  • Maintain State Manager’s diary and screen incoming calls
  • Assist the State Manager with communication, marketing, and promotional activities
  • Provide high level support to all members of the State Committee
  • Preparation of meeting agendas, minutes, diary appointments and reports for State Committee meetings
  • Provide high level administrative support to the sector support and development function of the WA office.
  • Respond to and/or direct enquiries from members and the public
  • Management of new memberships ensuring all paperwork is correct and greeting packs are sent and new members are engaged through a follow up phone conversation.
  • Management of membership through CRM

  • Demonstrated high level administration skills, including knowledge of office information technology
  • Significant experience in supporting an executive position within an organisation
  • Exceptional communication skills, both written and verbal
  • Intermediate to advanced MS office skills
  • A high degree of professionalism, discretion and integrity
  • High initiative and demonstrated ability to “get things done”.
  • Well-developed organisational skills
  • Ability to work autonomously and as an effective team member.
  • Willingness and capacity to travel, and valid driver’s licence
