Mind Medicine Australia (www.mindmedicineaustralia.org.au) is a charity that helps to alleviate the suffering caused by mental illness in Australia through expanding the treatment options available to medical practitioners and their patients. We are establishing safe and effective psychedelic-assisted treatments to cure a range of mental illnesses.

Mind Medicine Australia (MMA) is headed by social sector philanthropists Tania de Jong AM and Peter Hunt AM. Tania is one of the nation’s leading social entrepreneurs, creatives and inspirational innovators and Peter is one of Australia’s leading investment bankers, social entrepreneurs and philanthropists.

The Role

The Student Recruitment and Admissions Officer is responsible for driving student recruitment and enrolment outcomes for the CPAT Training Course through the management of the prospective student pipeline, lead nurturing and conversion activities, admissions and CRM processes, and the coordination of alumni engagement initiatives that foster long-term professional and community connections. You will also help lead our Volunteer Program.

Term of Appointment: Permanent part-time (3 days)

Primary Purpose and Responsibilities

The successful candidate will be responsible for ensuring that each CPAT intake is full and further developing our Alumni Program and other initiatives, such as assisting our graduates to find employment and our MMA Volunteer Program. You will also contribute to business development of MMA and MMA’s world renowned CPAT course and assist with a range of administrative and other tasks for MMA and CPAT. Position Description

CPAT Student Recruitment and Client Relationship Management

  • Respond to enquiries from prospective students, providing timely and accurate advice on programs, admissions requirements and application processes.
  • Process enrolments and maintain accurate participant records, correspondence and follow-up activities within the CRM system.
  • Coordinate and support webinars and other CPAT activities.
  • Administer and coordinate the Mind Medicine Australia Volunteer Program, including onboarding, oversight, communication and ongoing engagement.
  • Liaise with the Finance Department and Executive Officer to assist with accounts administration and processing related to the CPAT course.

Student Recruitment and Sales

  • Manage the prospective participant and student pipeline from initial enquiry through application, interview and enrolment.
  • Conduct proactive outreach to warm leads through phone, SMS and email communications to nurture engagement and support conversion.
  • Develop and deliver targeted communication campaigns in partnership with our marketing agency and other team members, including email and SMS marketing, to support recruitment and engagement objectives.
  • Build and maintain strong relationships with prospective participants, guiding them through the decision-making and enrolment process.
  • Monitor application and enrolment activity to support recruitment targets and optimise conversion outcomes.
  • Identify and support opportunities to promote MMA’s training services and increase engagement with potential clients and stakeholders.

Alumni and Volunteer Management

  • Deliver alumni engagement initiatives, including coordinating post-program communications, resources, professional development and employment opportunities and networking activities.
  • Identify opportunities to strengthen alumni participation, foster community connection and support ongoing engagement.
  • Engage with potential volunteers approaching MMA to evaluate their suitability.
  • Identify and liaise with suitable volunteers who can regularly allocate time and skills to support the charity’s initiatives.
  • Support the development and growth of the organisation's profile, influence and standing as a recognised leader within the sector.

Administrative Support

  • Provide professional and timely assistance in managing inbound telephone enquiries and directing requests as appropriate.
  • Provide administrative and operational support to the MMA team, undertaking additional duties and projects as required.

Other General Responsibilities

  • Meeting and where possible exceeding agreed personal Key Performance Indicators.
  • Working as part of a small, capable team to attain MMA’s mission.

Qualifications/Experience

  • At least 5 years’ experience in sales and as a high-level administrator.
  • Tertiary qualifications in marketing/sales, administration or business management are highly desirable, but not essential.
  • Extensive experience in customer service/client relationship management, preferably in a commercial, corporate, health and/or education/training environment.

Skills and Abilities

  • Outstanding sales and marketing skills and flair.
  • Exceptional attention to detail, time management and organisational skills.
  • Ability to manage and juggle priorities and work to deadlines.
  • Demonstrates initiative to improve business outcomes and a ‘can-do’ growth mindset.
  • Stamina, resilience and integrity.
  • Ability to provide exceptional client service through professional, friendly demeanour and intuitively understanding client needs.
  • Strong skills in stakeholder engagement, managing expectations, negotiation and conflict resolution.
  • Ability to work autonomously and part of a team.
  • Technically capable and confident. Experience with CRMs, Sharepoint, Click Up and Kajabi is an advantage.
  • High levels of verbal and written communication.
