The Macular Disease Foundation of Australia (MDFA), is the national peak body representing the macular disease community. Our four pillars of work include: prevention and early detection, supporting the community to live optimally with macular conditions, systemic advocacy and research. There are an estimated 1.7m Australians with some evidence of macular disease.

About the Role

The Team Assistant is a busy and rewarding role for someone with a positive can-do attitude backed by the skills to make it happen. The Team Assistant is responsible for providing administration support to the CEO and the four other members of the executive leadership team. It also supports the smooth functioning of the office environment.

Key Responsibilities

  • Manage the diary and administration for the CEO and coordinating special projects when required.
  • Support the Leadership Team with administration: notetaking, report formatting and managing corporate information.
  • Manage requirements for meetings and special events - preparation of papers and arranging venues and catering i.e. Board Meetings, AGM, Board retreats and donor events.
  • Assist with new staff recruitment lifecycle.
  • Proactive support for a well-functioning and satisfying office environment.

Selection Criteria

Essential requirements

  • Tertiary qualification with a minimum 5 years’ experience in a similar level role, and a willingness to continue learning and growing.
  • Highly organised and able to juggle multiple tasks and competing priorities.
  • Excellent attention to detail and motivated to take ownership of tasks to deliver high-quality results.
  • Strong IT skills & intermediate knowledge of Word, PowerPoint (or similar) and Excel.
  • Proactive and positive ‘can-do’ attitude who works collaboratively with people, seeking and responding to feedback to support high performance.
  • Excellent interpersonal and communication skills with a high EQ to anticipate the support needs of a small but busy Leadership team.

Desirable requirements

  • Understanding of the Not-for-Profit sector.
  • Advanced skills in MS Office products
  • Experience with customer databases.
