The Role

We have an amazing opportunity for a 6-month contract (Full Time) Volunteer Administration Officer to join the team in Melbourne.

Reporting to the Head of Volunteer Programs, this position is an integral part of our Volunteer Programs team, responsible for performing a range of administrative and support duties to assist our nationwide network of volunteers. If you are an entry level applicant with exceptional communication and organisational skills, as well as a ‘can-do’ attitude, this may be a great fit for you.

As the Volunteer Administration Officer, you will be responsible for helping to ensure our Volunteers have an exceptional experience when the join Make-A-Wish in this capacity. This includes facilitating a positive and efficient recruitment and onboarding process, guiding a high volume of volunteer enquiries through our pipeline and providing exceptional customer service to all internal and external stakeholders. The role also supports our internal HR practices, with alignment across various aspects of the employee recruitment and onboarding pathway.

You will be the team’s ‘go to’ for anything admin and support related. With a strong attention to detail and high accuracy, you love working with people and solving problems. You are a multi-tasking guru and thrive working within a fast-paced team, always one step ahead. Your strong communication and relationship building abilities will be paramount and will hold you in good stead for success in this exciting role!

Responsibilities of the position will include

  • Facilitate the end-to-end compliance requirements process (police checks and Working with Children checks, reference checks)
  • Create welcome and on-boarding packs for new volunteers
  • Support the Volunteer Experience Coordinators with recruitment needs
  • Undertake the processing of all volunteer applications, helping branches and staff
  • Update and maintain all volunteer records (previous experience using Salesforce ideal)
  • A natural savviness for technology and innovation

Qualifications, Skills and Expertise

  • Experience within an administrative /customer service focused role
  • Strong communication skills
  • Exceptional work ethic, attitude and ability to take initiative
  • Experience in working with volunteers or volunteering yourself
  • Strong organisational and time management skills
