About the Role

We are very pleased to announce the creation of a new role within the Senior Leadership Child Youth & Family Team for Tasmania. Reporting to the Director, the role of Executive Officer to Director will be crucial in the smooth running of service delivery across the State. You will be the right hand of the Director anticipating information and support that may be required, this includes project management, reporting, industry insight and managing the roll out of strategic business plans.  

The Executive Officer provides timely expert executive and professional support to the Director, including managing a diverse range of critical issues, services and projects relating to key strategic objectives. The successful applicant should provide a level of support to the Director to enable them to perform to their best.

This role is being offered as a Permanent Part-time (4 days per week) position based in Hobart, with some flexibility to work from home considered. Full-time appointment can be considered for the right applicant. Occasional travel to our office may be required as part of this role.

About you

To shine in this role, you will have the ability to build and maintain relationships by providing a high-quality administrative support to our teams. Your strong eye for detail, ability to communicate to varied levels of stakeholders and flexibility to work autonomously in a fast-paced environment will be the key to your success in this role. 

You must be proactive and intuitive in the way you work, allowing the Director to focus on higher level strategic planning and service growth as we work towards our 2025 Strategy.

This role would suit someone with prior experience in project coordination and/or management, or an Executive Assistant looking to take that next step forward in their career.

Key Responsibilities

  • Prioritise issues for the Director's attention and provide briefing notes/reports to facilitate effective action
  • Take a lead role in drafting key internal and external communications on behalf of the Director
  • Prepare and review correspondence, presentations and reports that deal with complex or sensitive matters
  • Provide timely, effective diary management by prioritising and organising meetings, with internal and external stakeholders
  • Communicate efficiently using computer/software applications - Microsoft Office suites programs including Microsoft Teams.
  • Provide project coordination support to the Director and Operations Managers in the planning, implementation and monitoring of organisational projects aligned to strategic direction.

Skills & Experience

  • Tertiary level qualifications in business, management, or relevant field and/or relevant experience 
  • Experience in the NFP/NGO sector
  • Experience and understanding what is required to operate at an executive level in a complex, geographically dispersed organisation
  • Demonstrated experience in research, analysis of data and provision of information
  • Strategic and critical thinking skills with good judgement and supported by a bias for action and outcomes
  • Demonstrated ability to develop and collate organisation reporting and papers
  • High levels of influencing and communication skills including the ability to liaise effectively with internal and external stakeholders at all levels
  • Ability to manage sensitive information and maintain a high degree of confidentiality
  • Demonstrated ability to identify priorities, work under pressure and meet deadlines
  • High levels of analytic skills including use of Excel and other tools for analysis

Successful candidates will be required to clear probity checks including National Criminal History Record Check.
