Kalwun Development Corporation Ltd is an Aboriginal & Torres Strait Islander community controlled organisation currently seeking to fill the following vacancy within our Seniors Services division. Kalwun Seniors Services is a provider of the Commonwealth Home Support Program and Home Care Packages, and runs a day respite Wellness Centre.

About the Role

The Senior Rostering Officer will provide high level support in the areas of administration; rostering; database system administration; and compliance. The role will lead and assist the Rostering Officer with problem-solving on a day-to-day basis; as well as be the conduit between the Seniors Services operations and corporate support team. This is a full time position based at Bonogin.

Position Duties

  • Deliver high quality and timely administrative support in a proactive and autonomous manner
  • Work closely with the company’s Implementation Specialist and the onsite managers
  • Be able to make decisions by employing a high level of commercial acumen whilst managing several competing priorities 
  • Perform end-of-period reconciliations; adjustments; and data entries with a strong understanding of internal controls 
  • Have extensive experience with client database entry and some experience desirable with a Client Relationship Management system such as TRACCS 
  • Address client needs by daily scheduling of Community Support Workers 
  • Oversee daily transport, meal run and activity rosters 
  • Manage last minute client cancellations and problem solving implications of cancellation including wage costs and rescheduling 
  • Assist with incoming phone calls 
  • Demonstrate high level of communication skills and awareness to triage incoming calls
  • Demonstrate lateral thinking and excellent problem solving in a complex scheduling environment 
  • Develop, document, implement and monitor business systems, procedures and methods to facilitate efficient business operations 
  • Manage a high volume shared mailbox environment 
  • Collaborate with team members to assist with the delivery of core business requirements
  • Provide accurate and timely written and verbal advice to executive staff who require information 
  • Provide backup support as well as mentorship for rostering as required 

Essential Selection Criteria

  • A high level of scheduling/rostering ability and/or experience
  • Highly effective communication and interpersonal skills – both verbal and written 
  • Experience working in a fast-paced environment 
  • Experience with TRACCS is highly desirable but not essential 
  • Advanced Computer skills 
  • Experience within aged or community sector desirable
  • Demonstrated ability to work with various databases
  • Excellent organisational skills and ability to independently manage workload 
  • Advanced problem-solving skills
