The Executive Officer to the Executive Director, Corporate Services plays a critical role in supporting the Executive Director and Corporate Services Leadership Team, ensuring the smooth operation of a dynamic executive office and enabling strategic priorities to be delivered effectively.

We are searching for a positive, collaborative, highly organised, self-starter who enjoys taking initiative and thrives in a collaborative environment where no two days are the same.

Acting as a trusted and dependable partner, you will provide high-level executive support across diary and inbox management, governance coordination, project administration, stakeholder engagement, travel and executive communications. You will anticipate needs, solve problems proactively and ensure the Executive Director is consistently informed, prepared and supported across a diverse portfolio.

Impact you will have in this role

Reporting to the Executive Director, Corporate Services, you will provide broad executive support and ensure the Executive Director is well prepared for meetings and key priorities while supporting the Corporate Services Leadership Team through governance coordination, project administration and executive communications.

Working collaboratively across the organisation, you will build strong relationships with internal and external stakeholders and contribute to the efficient delivery of strategic initiatives that support the broader organisation.

Key Responsibilities

  • Provide high-level executive support including diary, inbox and correspondence management
  • Prepare and coordinate executive briefings, reports, presentations and confidential communications
  • Coordinate Executive Management Committee papers in collaboration with the Governance team
  • Support the Corporate Services Leadership Team in tracking strategic initiatives, business planning and project deliverables
  • Coordinate leadership meetings, agendas, minutes and follow-up actions
  • Manage travel arrangements, accommodation and executive expense reconciliations
  • Draft correspondence, presentations and research papers
  • Build trusted relationships with internal and external stakeholders while exercising professionalism and discretion
  • Coordinate internal engagement activities, team events and connection opportunities
  • Work collaboratively with all internal stakeholders and teams, taking the initiative to help others across the business
  • Develop and maintain quality procedures and documentation relevant to the role

Skills & Experience

  • Demonstrated experience providing high-level executive support to an Executive Director, General Manager or senior executive within a complex environment
  • Exceptional organisational skills with the ability to manage multiple competing priorities while maintaining outstanding attention to detail
  • Highly developed interpersonal, written and verbal communication skills with the ability to build trusted relationships across all levels
  • Proven ability to exercise initiative, sound judgement, confidentiality and professionalism
  • Strong problem-solving skills with the ability to anticipate needs and proactively identify solutions
  • A collaborative, service-oriented approach with a willingness to support colleagues and contribute positively across the organisation
  • High level proficiency across Microsoft Office 365 including SharePoint, Outlook, Teams, Word, Excel, and PowerPoint
  • Experience supporting executive committees, governance or leadership meetings will be highly regarded
