ABOUT THE ROLE

The Program Support Officer is responsible for assisting Client Services Officers with administrative tasks. This is a fast-paced role with strict deadlines and regulatory requirements. The role requires highly developed time management skills, self-motivation, flexibility, persistence, and the ability to work productively both in a team and independently.

The Program Support Officer role is part of a program team and reports to a Program Manager. The successful applicant will work in a rewarding and fast-growing sector, which offers various career pathways and opportunities.

Day-to-day duties of the role include:

  • Answering and directing telephone enquiries.
  • Recording meeting minutes.
  • Working collaboratively and productively with Client Services Officers.
  • Preparing proposals for existing and prospective clients.
  • Assisting in the scheduling of audits to meet prescribed timeframes.
  • Preparing audit documents for use by auditors and clients.
  • Proof reading and formatting draft reports.
  • Inputting of data in regulator systems with a high degree of accuracy.
  • Fostering positive relationships with, and providing support to, our auditors.
  • Contributing to continuous improvement activities and other projects.

REQUIREMENTS

  • The ability to work effectively as part of a strong team.
  • The ability to work from home and learn the role remotely.
  • The ability and willingness to contribute to positive growth of programs and client acquisition.
  • High level of competency in Microsoft Office Suite (including Word, Excel, and videoconferencing such as Teams).
  • Experience using CRM and administration software and programs.
  • Solutions-focused with a problem-solving approach to challenges.
  • Ability to follow set processes and to identify and learn from errors.
  • High recordkeeping standards.
  • A sound understanding of privacy and confidentiality.
  • Strong time management skills and ability to balance priorities to meet defined timeframes.
  • A professional but engaging communication style that is clear, succinct, supportive, and confident.

HIGHLY DESIRABLE

  • Experience in fast-paced administrative or coordination roles.
  • Qualifications in administration.
