ABOUT THE ROLE
The Program Support Officer is responsible for assisting Client Services Officers with administrative tasks. This is a fast-paced role with strict deadlines and regulatory requirements. The role requires highly developed time management skills, self-motivation, flexibility, persistence, and the ability to work productively both in a team and independently.
The Program Support Officer role is part of a program team and reports to a Program Manager. The successful applicant will work in a rewarding and fast-growing sector, which offers various career pathways and opportunities.
Day-to-day duties of the role include:
- Answering and directing telephone enquiries.
- Recording meeting minutes.
- Working collaboratively and productively with Client Services Officers.
- Preparing proposals for existing and prospective clients.
- Assisting in the scheduling of audits to meet prescribed timeframes.
- Preparing audit documents for use by auditors and clients.
- Proof reading and formatting draft reports.
- Inputting of data in regulator systems with a high degree of accuracy.
- Fostering positive relationships with, and providing support to, our auditors.
- Contributing to continuous improvement activities and other projects.
REQUIREMENTS
- The ability to work effectively as part of a strong team.
- The ability to work from home and learn the role remotely.
- The ability and willingness to contribute to positive growth of programs and client acquisition.
- High level of competency in Microsoft Office Suite (including Word, Excel, and videoconferencing such as Teams).
- Experience using CRM and administration software and programs.
- Solutions-focused with a problem-solving approach to challenges.
- Ability to follow set processes and to identify and learn from errors.
- High recordkeeping standards.
- A sound understanding of privacy and confidentiality.
- Strong time management skills and ability to balance priorities to meet defined timeframes.
- A professional but engaging communication style that is clear, succinct, supportive, and confident.
HIGHLY DESIRABLE
- Experience in fast-paced administrative or coordination roles.
- Qualifications in administration.
