About the Role

As Site Administrator, you will be the driving force behind the smooth and efficient operation of Good Shepherd’s Brimbank office. You’ll provide essential support to a range of vital program including Family Violence, Family Services, and Financial Counselling, ensuring our teams can deliver life-changing services to the community. You’ll take ownership of the day-to-day running of the site, delivering high-level administration, project support, and facilities management. Your proactive approach will keep everything running seamlessly, from managing resources and coordinating logistics to maintaining compliance and supporting organisational initiatives.

In this highly visible role, you’ll have direct contact with families, young people, and children, offering a compassionate and trauma-informed experience from the moment they walk through our doors. You’ll expertly handle the switchboard, triage enquiries, and use your knowledge of family services and family violence to guide clients to the most appropriate care - whether within Good Shepherd or through trusted external partners.

Reporting to the Administration Team Leader, you’ll join a collaborative and supportive team of Site Administrators, working together across all Good Shepherd sites. This is a 5 month contract role until November 2025, offering the opportunity to make a real difference in the lives of those who need it most.

Key Responsibilities

  • Acting as the first point of contact at reception, responding to telephone, email, and face-to-face enquiries with professionalism and respect
  • Providing cohesive reception and administrative support to ensure the efficient running of the site
  • Supporting site facilities and procurement, including property and equipment maintenance, fleet vehicles, mobile phones, and office management
  • Ensuring adequate stationery supplies and processing administrative requirements to maintain a well-organised reception area
  • Managing and maintaining filing, record keeping, and administrative systems
  • Working collaboratively with managers, team leaders, and other employees to deliver effective site services
  • Supporting organisational events and program activities, such as catering for meetings and training sessions
  • Redirecting enquiries to appropriate services or alternative organisations when Good Shepherd is not the suitable provider

About you

  • 2+ years of experience in a reception, front desk, or administrative support role
  • Experience or qualifications to support managing high risk clients through trauma-informed practices
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Ability to manage multiple tasks and prioritise effectively in a busy environment
  • High attention to detail and accuracy in data entry and record keeping
  • Proficiency in Microsoft Office Suite, CRM, and other technical systems
  • Exceptional verbal and written communication skills
  • A proactive, can-do attitude and willingness to support wider team needs
