Our Story

The Victorian Foundation for Survivors of Torture Inc. (also known as Foundation House) was founded in 1987 to advance the health, wellbeing, and human rights of people of refugee background who have experienced torture or other traumatic events. We have worked with over 100,000 people from more than 70 different communities and are recognised as a national leader in the provision of trauma-informed and trauma-focused service delivery.

Your Impact

As an integral member of the Administration team, the Reception and Administration Officer will maintain a professional, welcoming and psychologically safe environment by being the first point of contact for refugee and asylum seeker clients, community members and other stakeholders, either face to face or over the phone.

About you

We are looking for an experienced receptionist with strong administration skills to join our supportive team and take on this vital role with a friendly, can-do approach.

In this role your activities will include:

  • Deliver high quality reception and customer service, ensuring prompt and appropriate response to phone, email and in-person enquiries.
  • Engage with a wide range of clients, community members and stakeholders, acting with cultural sensitivity and confidentiality.
  • Setting up meeting or treatment rooms, ensuring they are kept to an appropriate standard.
  • Provide administrative support for the Refugee Mental Health Clinic, including managing appointments, booking rooms, processing Medicare claims.
  • Assist staff with other requirements, such as car fleet bookings, catering, stationary, supplies, etc.
  • Take on other ad-hoc duties and learnings in support of other business units where required (e.g. support to the Executive Assistant or HR team).

What You'll Need

To be successful, you will need to positively respond to the following key selection criteria:

  • Previous experience working on a busy reception desk (within a health or community setting is advantageous but not essential)
  • Excellent interpersonal and communication skills, written, in person and on the phone.
  • Strong administrative skills and technical proficiency with programs such as MS Office 365
  • Understanding and compliance with privacy and confidentiality due to the sensitive nature of the work that may be undertaken.
  • Ability to work well with people from culturally and linguistically diverse (CALD) backgrounds.
  • Excellent time management skills with the ability to prioritise own work and to multi-task.
