This year marks The Foundation’s 30th anniversary of carrying on the legacy of Professor Fred Hollows, who believed every person had the right to quality eye care, no matter where they live. The Foundation has grown to work in more than 25 countries throughout Africa, South Asia, Southeast Asia, the Middle East and the Pacific, as well as Australia. The Foundation has restored sight to more than 2.5 million people worldwide. We have an ambitious five-year strategic plan that aims to take us even closer to realising our vision of a world in which no person is needlessly blind or vision impaired and Indigenous Australians exercise their right to sight and good health.

ABOUT YOU

You are an experienced Executive Assistant with outstanding organisational skills. You are deadline driven able to prioritise tasks and work across multiple priorities. You will be service driven, ensuring a smooth environment for the executive time. With excellent interpersonal and communications skills (both written and verbal), you will thrive within a high performing environment. Additionally, you will have high computer literacy skills, particularly across the Microsoft Suite. You will be process driven and innovative, able to create an effective system for office administration to ensure nothing falls through the cracks. Finally, while you may not have INGO experience, you will be someone who wants to join a leading INGO and to make a positive Impact.

THE OPPORTUNITY

The Executive Assistant is accountable for providing administrative, secretarial, and executive support to the Business Operations Executive Director and Directors as well as administrative support and coordination to the Business Operations team as required.

KEY RESPONSIBILITIES

  • Provide secretarial support to the Executive Director including: screening and assessing incoming correspondence and ensuring appropriate distribution and/or response, conduct research for speech preparation as well as preparing presentations, reports, briefs and other documentation.
  • Provide pro-active, high-level administrative and secretarial support to the Executive Director and the division.
  • Proactively manage and maintain the schedule and diary of the Executive Director.
  • Primary support for organising all travel and associated documentation for the Executive Director.
  • Manage divisional and relevant key organisational meeting logistics including; preparing meeting papers, circulating resources, first point of contact for inquiries and producing minutes.
  • Undertake project management and manage special projects as directed.

WHAT YOU’LL NEED TO SUCCEED

  • Office management.
  • Experience working in an administrative or support services function.
  • Experience working in an international NGO, highly desirable
  • Previous experience working closely with executive teams
