Family Contact Service has been supporting children and families since 2012 by providing safe, professional and child-focused supervised contact services throughout Victoria, with continued expansion into New South Wales.

We are seeking a highly organised and motivated Casual Administrative & Client Services Officer to join our team. This is an exciting opportunity for someone who enjoys working in a fast-paced environment, embraces technology and takes pride in delivering exceptional customer service.

About the Role

Working closely with the Director and management team, you will play an integral role in ensuring the smooth operation of our service.

Your responsibilities will include:

  • Managing appointments, referrals and staff schedules.
  • Responding to telephone and email enquiries in a professional and compassionate manner.
  • Preparing correspondence, reports and other documentation.
  • Maintaining accurate electronic client records and ensuring confidentiality at all times.
  • Liaising with solicitors, courts, government departments, community organisations and clients.
  • Assisting with invoicing and general office administration.
  • Supporting the ongoing development and improvement of office systems and procedures.
  • Learning and confidently using new software, technology and AI tools that enhance the efficiency of the service.
  • Providing administrative support to the wider Family Contact Service team as required.

About You

The successful applicant will be someone who:

  • Has a minimum of three years' administration experience.
  • Is highly proficient with computers and enjoys learning new software and technology.
  • Has excellent skills in Microsoft Outlook, Word and Excel.
  • Is organised, efficient and able to manage multiple priorities in a busy environment.
  • Has exceptional attention to detail and produces accurate work.
  • Has outstanding written and verbal communication skills with a professional telephone manner.
  • Can work independently, exercise initiative and solve problems confidently.
  • Maintains strict confidentiality and professionalism.
  • Is reliable, adaptable and enjoys being part of a supportive team.
  • Has a genuine commitment to providing high-quality service to children and families.

Experience within community services, family law, legal, health or human services will be highly regarded but is not essential.
