JOB PURPOSE

The Conference Coordinator will lead the planning, coordination and effective delivery of the Council's flagship event, the National Energy Efficiency Conference, including a Gala Dinner and peripheral events, scheduled for 24-25 May 2023 at Roundhouse UNSW in Sydney.

The Conference Coordinator will be highly motivated, with a track record of demonstrating initiative, acting autonomously, and having a keen attention to detail. The Conference Coordinator will have excellent interpersonal, analytical, and oral and written communication skills, and will have previously managed the delivery of an event of a similar scale.

The Council is seeking someone with event delivery expertise who possesses excellent organisational, interpersonal and communications skills. Interest in and engagement with Australia’s energy or sustainability sectors, and experience in an industry association or member-based organisation will be considered favourably, however are not essential attributes.

KEY DUTIES

This role requires significant engagement and coordination with formal and informal partners, and working in conjunction with them to deliver a high-quality Conference.

The Conference Coordinator will be required on-site in Sydney for the full week 22-26 May 2023.

Key duties include the coordination of all aspects related to delivering the Conference:

  • Act as the main point of contact for all Conference activities;
  • Coordinate and execute the critical path in a timely manner;
  • Work with the external PCO;
  • Coordinate the booking with the venue, including the multiple conference spaces, exhibition space, networking space, AV and catering;
  • Stakeholder liaison:
    • Partners;
    • Sponsors;
    • Exhibitors;
    • Suppliers;
    • Speakers; and
    • Registrants.
  • Work with staff to develop the Conference program;
  • Work with staff on the roll out of communications and marketing activities;
  • Pre-arrival, on-site and post-event management;
  • Risk mitigation planning;
  • Coordination of the Conference budget to deliver the expected net contribution; and
  • Review and report on event outcomes.

The Council is a small and flexible organisation. The successful candidate will be required to work on a range of cross-organisational projects, on an ad hoc basis, in collaboration with colleagues and external stakeholders to meet the Council’s overall goals.

KEY EMPLOYMENT CONDITIONS

Exact employment conditions will be negotiated based on the qualifications and experience of the candidate.

  • Fixed term contract 6 February – 9 June 2023 (4 months) (other employment options negotiable)
  • Variable from 0.6-1.0FTE, increasing in the weeks around the Conference date:
    • 1.0FTE 8-26 May 2023; and
    • Required on-site in Sydney for the full week 22-26 May 2023.
  • $18,000 - $30,000 including superannuation over four months dependent on FTE.
  • Preference for a Melbourne or Sydney-based candidate; and
  • Flexible work arrangements (hours and location).
