e.motion21 is a for purpose organisation, a fully accredited NDIS provider and a registered charity with the Australian Charities and Not-for-Profit Commission (ACNC). We provide Australian-first, evidence based dance, fitness and creative programs for children and adults with Down syndrome. We deliver our life changing programs virtually throughout Australia and in-studio across nine Victorian locations; Ballarat, Bendigo, Cranbourne, Geelong, Greensborough, Hoppers Crossing, Kew, Pascoe Vale and Rowville. We perform regularly at public events.

ABOUT THE ROLE

Reporting directly to the e.motion21 Group Manager, the People Coordinator will manage and lead the volunteer team to ensure that e.motion21’s programs are fully supported. They will work closely with their team, to understand and meet their needs for classes, ongoing development and events. The role is a key representational role for e.motion21 to important stakeholder groups. The role will be a key point of liaison between site managers, volunteers and the office with regular visits to all e.motion21 sites. The role will focus on building the capacity of our people by managing our online training platform, creating content, delivery of professional development, implementing improvements across the organisation and scaling our training and professional development program to be best-in-class nationally. The role will provide support to the e21 and I21 Group Managers in the onboarding of new staff and support them in selected and agreed projects that enhance people experience. It is expected that the People Coordinator enhances our people’s experience by supporting at key events and classes.

Due to the nature of this role, flexible hours, out of hours supervision and weekend work is expected to support our activities, both classes and events. Attendance and travel with the incumbents’ own vehicle will be required. During Covid-19 restrictions work from home is expected.

KEY RESPONSIBILITIES

Leadership and Management of Volunteers

  • Lead improvements to the organisation with respect to the volunteer engagement and culture.
  • Propose improvement plan, develop and deliver approach to volunteers from recruitment, compliance, induction, training, briefings, debriefings, feedback and professional development.
  • Sourcing, recruiting, onboarding and management of all volunteers for e21 and as requested for I21.
  • Ensuring all Volunteers are informed of NDIS requirements, e21 protocols and policies and any changes or updates.
  • Managing leading volunteer team of 50+ to support in regular e.motion21 classes across all locations and virtual (involvingng quarterly scheduling and backfilling).
  • Managing/ leading volunteer team as required at large scale events (50 to 150 volunteers required per event) including; resource planning, recruitment, allocation, briefing, debriefing.

Building Capacity of People

  • Design, develop in collaboration with GM e21 org wide Training Schedule
  • Create professional development as required to meet the needs of our people
  • Delivery of volunteer professional development, face to face & virtual
  • Management of online training platform, set training modules for each volunteer group/ division and teachers and volunteers
  • Provide ongoing people support and development for volunteers and assist e.21 Group Manager with support and development of contract teachers and staff

People Experience

  • As a member of e.21 team and the Quality Management committee proactively identify opportunities for improvement that improve the experience of participants, families, staff, volunteers and contractors striving for e21 operational excellence.
  • Support the e.21 Group Manager and work with them on agreed projects to continually improve the program and people experience.
  • Support other leaders with people management as required.
  • Leadership of the volunteer and people integration in line with all e.21 policies, vision and mission and NDIS requirements.
  • Leader/ owner of e.21 Pre Employment & Volunteer Screening Policy and Procedures, ensuring 100% compliance with all new and existing staff, volunteers and contractors.
  • Ensure relevant e.21 policies and practice remains current and compliant as per your responsibilities.
  • Quarterly site visits, or as required to all studios, checking against compliance measures and documenting and reporting back needs to the e21 Group Manager.
  • Build and maintain positive relationship between our people; participants, families, volunteers, teachers and staff.
  • Prepare for, set up and monitor Covid-19 normal studio and operations and HO.

SKILLS & EXPERIENCE REQUIRED

  • Experience engaging with people with Down syndrome/Intellectual Disability (work or lived experience) demonstrating an understanding and appreciation of a contemporary approach - social and independence model (highly desired).
  • Sound knowledge of current trends, resources, information and relevant legislation and guidelines related to volunteers and operating in a highly regulated environment (NDIS)(highly desired).
  • Demonstrated experience leading/managing a remote team of volunteers (50+ volunteers) and promotion of volunteer culture, community and engagement.
  • Excellent attention to detail and processes required in highly regulated and scrutinised sector.
  • Excellent interpersonal skills, with a high level of professionalism and proactive approach to engaging with people.
  • Excellent oral and written communication skills, organisational skills and attention to detail.
  • Demonstrated high skill level of Microsoft 365, Xero and can learn other software systems easily
  • Demonstrated experience facilitating professional development and presenting to a group of individuals.
  • Demonstrated use of initiative, problem solving, organisational, time management and the ability to work autonomously and flexibly.
  • Demonstrated ability to manage multiple projects and work assignments from a variety of staff and volunteers.
  • A team player with a commitment to work collaboratively and in a small resource-constrained environment.
