Domestic Violence NSW Service Management (DVSM) is a registered charity which aims to prevent and to provide support for people escaping/experiencing Domestic and Family Violence and homelessness.

DVSM provides support services in an urban context (Inner Sydney), in a suburban context (Western Sydney) and in remote rural NSW (Wilcannia). DVSM also provides professional services (Sightlines) to build capacity and share learning about Domestic and Family Violence within the Community Services sector and more broadly with the wider ecosystem of corporations, organisations, institutions, online and local communities.

About the opportunity

The Organisational Services Assistant position will be working within the Organisational Services team and reporting to the Organisational Services Manager. The primary function of this role will be to support the Organisational Services Team including accurate and timely completion of DVSM’s accounts payable activities, supporting financial reporting requirements, assisting with HR, IT and policy and compliance work. 

Key Accountabilities

  1. Work in alignment with DVSM values and principles. 
  2. Assist the Organisational Services Team to support all of DVSM through the implementation of administrative processes and projects set out by the Organisational Services Manager. 
  3. Contribute to the design and continuous improvement of efficient cross-organisational administrative systems.  
  4. Responsible for accounts payable function including data entry into Xero, review of invoices, petty cash, DVSM Corporate Accounts and Credit Card reconciliations and responding to internal and external account queries.
  5. Support Finance team with monthly closing of accounts activities including maintaining clear and accurate financial records.
  6. Update and maintenance of DVSM Fixed Asset register including asset tagging requirements.
  7. Provide Administrative support for Human Resources and Information Technology related contracts, quotations, staff onboarding and offboarding.
  8. Monitoring and management of DVSM Admin inbox related communications including redirection of external queries to the Organisation Services team.
  9. Provide assistance and support within the Organisational Services team to ensure smooth functioning of the Team.
  10. Fulfil duties in the relevant Duties Matrix.  
  11. Perform at the relevant level in the CS Capability Framework. 
  12. Adhere to DVSM Policies and Procedures. 
  13. Undertake other duties within the scope of this role, as reasonably directed. 

SELECTION CRITERIA

Essential Criteria

  1. Minimum 2 years’ experience in similar role
  2. Strong computer literacy skills (including Adobe and Microsoft – Outlook, Excel, Power Point and Word). 
  3. Experience with using Xero.
  4. Excellent verbal communications skills including competence to manage sensitive matters and materials. 
  5. Excellent written communications skills and willingness to minute, proof, edit and author documents. 
  6. A confident, proactive ‘can-do’ attitude with willingness to multitask and self-manage competing priorities with proactive communication and flexibility to support the team. 
  7. Demonstrated ability to be self-directing, plan and prioritise workload and show initiative. 
  8. Commitment to organisational and community confidentiality. 
  9. Demonstrated ability to work within a team environment and take initiative in relationship building. 
  10. Willingness to learn MS Visio, Share Point and other applications as required.  

A successful Working with Children Check (WWCC) and Federal Police Check is required to be employed with DVSM.

Desirable Criteria

  1. Working experience within non-for-profit or community services sector, with focus on domestic and family violence, highly regarded
  2. An interest in and understanding of responses to experiences of domestic and family violence.
  3. Experience working in a paid or voluntary capacity with not for profit sector.
