The Dandenong & District Aborigines Co-operative Ltd (DDACL) is an Aboriginal Community Controlled Organisation which is governed by a community elected Board of Directors. Position scope

The purpose of this role is to provide generalist HR duties including assisting with recruitment, training and development, employee relations, record keeping, WHS and other duties in line with organisational policies and procedures as well as government requirements.

Key Results Area Accountabilities

Operational HR Advice and Support

  • Provide day-to-day advice to employees and people leaders with general HR queries.
  • Ensure all employees have current and relevant employment contracts, updated position descriptions and workplans.
  • Organise training and development activities including booking venues for training, liaising with training providers and other duties as required.

HR Systems, Policies and Procedures

  • Upload documents into the risk management system LogiQc.
  • Maintain current register of employee’s relevant licences and checks, including WWC checks, Police Checks, Driver's licence and AHPRA registration.
  • Assist the HR Advisor in the development and roll out of policies and procedures.
  • Manage and administer adherence to HR policies.
  • Act as Administrator for the HR System ELMO.
  • Ensure the quality and compliance of HR documentation with appropriate storage.

Recruitment, Selection, and Induction

  • Assist HR Advisor in undertaking recruitment activities including managing e-recruitment, Selection and Induction procedures, position descriptions, advertising, shortlisting, interviewing and all relevant employment documentation.
  • Administer direct recruitment as required by hiring managers, including liaising with recruitment agencies.
  • Maintain personnel files and database.
  • Contribute to administering employee exit processes.

HR Projects

  • Contribute to HR projects and other ad hoc activities that contribute to building a positive workplace culture.
  • Assist in administering all staff surveys and onboarding surveys using SurveyMonkey.

Corporate responsibilities

  • Attend general staff meetings.
  • Function as a team member in close liaison with other staff.
  • Attend training as required.
  • Perform other duties relevant to the position as directed by HR Advisor and the Corporate Services Manager.
  • Act at all times in a professional manner and ensure the confidentiality of employees.

WHS

  • Administration of WHS including taking meeting minutes for WHS Committee, sending out agenda, maintenance of notice boards and employee evacuation lists.

Health, Safety and Environment

Provide and maintain a working environment that, as far as reasonably practicable, is safe and without risk to the health, safety, and wellbeing of all (employees, contractors, volunteers, clients and families). Main Activities:

  • Takes responsibility regarding the health and safety in the workplace of themselves and others.
  • Creates awareness amongst DDACL employees of health and safety policy and regulation.
  • Conducts themselves in a manner which supports health and safety policy and regulation.
  • Complies with health and safety policy and procedure implemented by the Company in the interests of HSE
  • Reports any incidents or near misses to DDACL management in a diligent and timely manner.
  • Asks questions or seeks instructions if unsure or unclear on any matter likely to cause harm.
  • Ensure the protection of children, youth and families are met whilst delivering and visiting services off-site and on-site.

Other

  • Other duties consistent with the position where required and/or requested by the HR Advisor or Corporate Services Manager, such as assisting other teams with administrative projects.

KEY SELECTION CRITERIA

Essential Qualifications:

Minimum Cert IV in Human Resources, or related discipline.

Essential Criteria:

  1. Knowledge of and ability to work with the Aboriginal community: Demonstrated understanding and commitment to Victorian Aboriginal health, Aboriginal culture, and the philosophy and practice of Aboriginal Community Controlled. Demonstrated ability to work or learn to work with Aboriginal organisations, communities, and individuals in culturally appropriate ways as well as mainstream health organisations.
  2. HR experience: Demonstrated experience in a HR or Administration role, preferably in a community focussed organisation/or Not for Profit environment.
  3. Communication skills: Highly developed written communication skills, with proven ability to prepare a range of documents including reports and general correspondence. Excellent interpersonal and communication skills to liaise effectively with a wide range of people at all levels and ability to develop and maintain effective working relationships, characterised by co-operation, trust and mutual respect
  4. Confidentiality and impartiality: Demonstrated capacity to maintain sensitive information, maintain confidentiality and remain impartial at all times
  5. Computer skills: Excellent computer skills including in Microsoft Office suite (in particular Excel) and other software programs (including Learning Management and HR Systems) and the ability to quickly acquire working knowledge of new systems.
  6. Initiative and accountability: Demonstrated initiative and accountability with proven ability to take responsibility for own actions.
  7. Organisational skills: A flexible approach, with strong organisational and planning skills, including the ability to effectively manage time and workload, prioritise tasks, and meet changing circumstances, competing demands, interruptions, and deadlines.
  8. Ethical behaviour: Demonstrated adherence to organisational behaviour standards and values, and ability to act with respect honesty and integrity at all times.

  5. Reliable and Punctual: A high level of punctuality and reliability is required.

Other Relevant Criteria:

  1. Completion of a satisfactory background and police check.
  2. Possession of or a preparedness to obtain a “Working with Children Check” card.
  3. A current unrestricted Victorian Driver’s licence.
  4. Proof of full vaccination status.
