ORGANISATION

Beehive Industries is a not-for-profit social enterprise with a clear mission; to reduce social isolation and its consequences in the Sydney region. They support over 200 seniors, the long-term unemployed and people living with a disability through a wide range of social support and food relief programs.

Established in 1971, Beehive Industries offers quality mail house, commercial printing, fulfilment and packaging services, offering clients the opportunity to engage in business with purpose – in making a difference to the lives of people in real need!

ROLE

Exciting newly created Executive Assistant position responsible for supporting the CEO in administering projects and effectively managing stakeholder relationships, assisting with events and activities, minute taking, creating reports, conducting organisational and general administrative duties as well as reviewing operational procedures and policies.

You will be self-starter, happy to play a hands-on role with a calm, personable nature, possess excellent communication skills and enjoys proactively looking for ways to support the executive and contribute ideas to the broader team and organisation.

RESPONSIBILITIES

  • Provide administration support to CEO
  • Email management and correspondence
  • Assist with lodging data to funders
  • Assist with stakeholder engagement, events & activities
  • Read, summarise, and analyse incoming documentation
  • Assist with research and preparation of reports and presentations
  • Manage files and assist with formatting of documents
  • Assist CEO with administering business opportunities across government and corporate sectors
  • Effectively support corporate governance and risk administration
  • Minute taking and attend key meetings
  • Review operational procedures providing recommendations
  • Oversee policies and procedures updates and revisions,
  • Undertake generic office management including ordering supplies and maintaining records and contact databases

YOUR SKILLS & ATTRIBUTES

  • Relevant experience in an Executive Assistant position.
  • Trustworthy, loyal with sound judgement and a mature approach to work.
  • Demonstrated ability to juggle conflicting priorities and deadlines.
  • Ability to work in a challenging environment.
  • Excellent communication skills, both written and oral, with the ability manage key stakeholders.
  • Proficient skills Word, Outlook, Excel & PowerPoint
  • Sound problem-solving with strong decision-making capabilities.
  • Ability to develop and maintain effective working relationships.
  • Excellent organisation skills and ability to manage multiple projects simultaneously.
  • A proactive work style and capacity to work with little supervision
  • An understanding of the NFP/disability sector will be highly regarded.
