About the Role

BUSHY Landscapes is seeking a highly organised and adaptable Administrative Support team member to work across our design studio, construction division, and operations team.

This is a dynamic, multi-faceted role supporting the delivery of landscape architecture, ecological restoration, and construction projects. You will play a key role in keeping projects, systems, and communications running smoothly across the business.

Key Responsibilities

Design Studio Support:

  • Preparation and formatting of project documentation
  • File and record management
  • Consultant and client correspondence
  • Meeting coordination and scheduling
  • Estimating and fee proposal support
  • Assistance with design deliverables and submissions
  • Maintaining clear, organised project records

2026 Focus Projects:

  • Standardise filing systems
  • Support acquisition strategy
  • Standardise design engagement processes and documentation
  • Support marketing strategy

Construction Division Support:

  • Procurement and project coordination
  • Contract administration
  • Invoicing and payment tracking
  • Supplier and subcontractor liaison
  • Day-to-day communication with clients and internal teams

Note: This aspect requires consistent daily attention due to the fast-paced nature of construction delivery.

2026 Focus Projects:

  • Estimation standardisation and support
  • Project management process development
  • Standardise construction engagement processes and documentation
  • Support subcontractor strategy
  • Support marketing initiatives

Financial Administration:

  • Invoice preparation
  • Accounts receivable and payable support
  • Payroll and wages administration
  • Payment tracking and follow-up
  • Purchase orders and expense processing
  • Account reconciliation
  • Supplier and subcontractor administration

2026 Focus Projects:

  • Implement new invoicing and payroll software
  • Support transition to new bookkeeper and tax agent
  • Assist with budgeting and forecasting processes

General Administration & HR Support:

  • Email management and enquiry handling
  • Maintaining administrative systems and templates
  • Supporting coordination across divisions
  • Assisting with team scheduling and follow-up
  • Keeping business records organised and up to date

2026 Focus Projects:

  • Standardise team structures, processes, and communications
  • Standardise new lead communication strategy

Marketing Support:

  • Assist with marketing materials and content preparation
  • Social media and website updates
  • Formatting capability statements and submissions
  • Supporting business development initiatives

2026 Focus Projects:

  • Support delivery of new website
  • Assist with Club BUSHY events (including event-day setup and pack down)
