About the Institute

Located on the lands of the Bidiagal Clan of the Dharawal Nation (Randwick, NSW), Black Dog Institute is the only Medical Research Institute in Australia to investigate mental health across the lifespan, our aim is to create a mentally healthier world for everyone. For the past 20 years, we have been at the forefront of mental health research. Leveraging our own research, we have developed an image and workplace that is reflective of our values and mission. Our work is used to distributed through the public and is used to drive evidence informed change across the mental health sector, setting the foundation for a brighter and healthier future for all.

We’re looking for a People & Culture Coordinator to provide frontline HR support and coordination across the employee lifecycle. This is an excellent opportunity for someone early in their HR career who enjoys structured processes, helping others, and contributing to continuous improvement in a purpose-driven environment.

What you’ll be doing

People & Culture support

  • Respond to employee and manager queries, providing clear and accurate guidance on routine HR matters
  • Triage more complex or sensitive issues to the appropriate internal specialists
  • Maintain and improve HR resources (intranet content, guides and templates) to enhance self-service

Employee lifecycle administration

  • Support onboarding and offboarding processes, including documentation, systems updates, and compliance checks
  • Assist with probation tracking, performance processes and annual review cycles
  • Maintain accurate and confidential employee records

Recruitment coordination

  • Provide end-to-end recruitment administration including job postings, interview scheduling and candidate communication
  • Support hiring managers with process guidance and timelines
  • Coordinate pre-employment checks and maintain recruitment records in HR systems

Engagement and learning

  • Assist with wellbeing initiatives, engagement activities and recognition programs
  • Support learning and development logistics, including training coordination and record management

Continuous improvement

  • Identify recurring queries and recommend improvements to processes, templates and FAQs
  • Contribute to enhancing the overall employee experience through better systems and practices

What you’ll bring

We’re looking for someone who is organised, approachable and keen to build their HR career. You don’t need to tick every box, we value transferable skills and a willingness to learn.

Core experience and skills

  • Experience in an HR coordination, administration or advisory role
  • Confidence providing first-level guidance on routine HR matters
  • Strong organisational skills with the ability to manage competing priorities
  • High attention to detail across data, documentation and systems
  • Strong communication skills and a collaborative approach
  • Ability to manage sensitive information with discretion and professionalism
  • Proficiency in Microsoft Office (especially Excel) and comfort learning new systems

Nice to have

  • Qualification (or working towards) in HR or a related field
  • Exposure to HR systems or emerging tools (including AI-enabled solutions)
