About this role:

The primary purpose of this max term contract role is to support to the Residential Aged Care (RAC) business reporting to the Project Director. This role is responsible for the execution of the project deliverables and ensuring the subject matter experts and key stakeholders enable the successful transformation of Baptcare’s Aged Care model. The role will provide a strong focus on compliance, efficiencies and creating positive change for our workforce to uphold service excellence for our consumers.  This role is the “Doer” and right hand person to the Project Director and is relentless in keep the project on track for all administration, distribution and  communication until final delivery. 

The position will be accountable for the following activities:

  • Provide and maintain confidential support to the Project Director
  • Developing detailed project briefs, plans and timelines 
  • Bringing together and managing cross functional teams & meetings, ensuring team members have the right tools, are focused on priorities and are delivering on tasks
  • Work closely with the leadership team to ensure all actions from regular program meetings are tracked, published correctly and distributed effectively and meet the requirements for the integrated program.
  • Ability to schedule work priorities to ensure deadlines are strictly adhered to
  • Various administration and reporting duties which may include (but are not limited to); task lists, project plans, issue and risk registers, meeting agendas, meeting minutes and status reports

About you:

  • Minimum 12 months experience in Project administration or EA, project coordination or administration experience
  • Highly organised and able to manage multiple calendars
  • Strong computer literacy, including proficiency in Microsoft Office and MS Project or similar project planning software
  • Excellent stakeholder management and relationship building skills
  • Attention to detail – you can critically review information to ensure excellence.
  • Flexible, proactive, energetic approach to “getting stuff done
  • Builds trust through consistent actions, values, and communication
  • Excellent communication and able to keep everyone informed and escalate any risks where appropriate
