Holstep health is looking for a skilled, vibrant and motivated Administrative Assistant to join our amazing team and work in a permanent part time position.

YOUR NEW ROLE:

The Administrative Assistant is responsible for providing direct administrative support to the Oral Health Program, with a strong focus on outreach services. Working closely with the Outreach Coordinator, the role provides administrative and coordination support to ensure outreach activities run efficiently and effectively.

Reporting to the Team Leader Oral Health, the Administrative Assistant is responsible for ensuring that all administrative processes, including the preparation, processing, and timely entry of client consent forms into electronic patient systems, are completed accurately and efficiently. The role ensures that all administrative requirements are in place to support the Oral Health team in delivering outreach services confidently, professionally, and with minimal disruption.

A key function of the role is maintaining a well-organised and coordinated appointment system, ensuring a smooth experience for both clients and the dental outreach team. By facilitating streamlined administrative processes, this position directly contributes to the overall success of the outreach programs.

The Administrative Assistant also provides clinical support during school holiday periods, assisting the Oral Health team as required to maintain service delivery.

The role requires strong collaboration and effective communication with a range of stakeholders, including local schools, Oral Health Victoria (OHV), and other community partners.

YOU WILL BE RESPONSIBLE FOR:

  • Appointment book administration, including registration and tracking of consent packs, and creation of client records in electronic patient systems to ensure full compliance.
  • Liaise with parents and caregivers regarding consent forms, client inquiries, and appointments to ensure smooth coordination of school visits and service delivery.
  • Dental supply stock control, ordering, and delivery processes, including dental packs.
  • Monitor productivity metrics within outreach programs and contribute to day-to-day activities as needed.
  • Support administrative activities related to audits, quality improvement, and risk management for internal projects.

WHAT YOU NEED TO SUCCEED:

  • Demonstrated excellent verbal and written communication skills
  • Exhibit a high level of motivation and dedication to the profession
  • Highly developed organisational skills, time management, with capacity to manage concurrent tasks.
  • Advanced knowledge in the patient electronic Management system
  • Strong administration skills including use of MS Office suite of applications and client software packages
