Primary Purpose of the role

The purpose of this role is to perform reception and administrative duties for the Executive Officer (EO), who supports the Chief Executive Officer (CEO) and the Executive team to manage their daily workload. This includes managing the CEO’s daily calendar, providing secretarial support to the EO, assisting with file and data management, liaising with clients and other stakeholders in relation to internal and external meetings, and performing other tasks as delegated.

This is a career development opportunity for the right candidate to be mentored into a more senior administrative role in the organisation, at the completion of the fixed term or earlier, and dependant on ability, skill, and interest.

About the role

The Administration Officer will be responsible for:

  • Providing support as required to the Executive Officer in supporting the CEO and the Executive to manage their workload.
  • Daily monitoring of the CEO’s calendar including scheduling meetings, organising travel/accommodation, and facilitating the smooth running the CEO’s meeting calendar.
  • Assisting with file management for the CEO and Executive team
  • Entering and maintaining data and reporting requirements
  • Providing secretarial services to the Executive Officer including;
    • Submitting/distributing papers, briefs, presentations, and reports.
    • Tracking and reporting on the progress of action items, tasks, and projects for the team.
    • Organising events such as planning days, team building activities, etc.
    • Improving and implementing administrative systems and processes.
  • Liaising with colleagues to support the work of the EO, CEO and Executive team.
  • Working collaboratively with the EO to ensure high level of support is provided to the Executive team.
  • Perform other reasonable duties as directed.

About you

We’re looking for someone who brings:

  • Knowledge and appreciation of the cultural and social needs of Aboriginal people combined with continuing respect and support for Aboriginal cultural practices when considering service delivery and other support for clients, their families, communities, and staff.
  • Commitment to the principles of social justice
  • Capacity to perform key duties and responsibilities in a culturally appropriate manner.
  • Proven computer systems skills including Office 365 and ability learn new systems quickly.
  • Excellent phone manner and communication skills
  • Demonstrated organisational and time management skills and the ability to multi-task in a high-volume work environment.
  • Proactive approach to learning and positive attitude to key duties and responsibilities
  • Ability to maintain a high level of confidentiality and implement ALS policies.
  • Excellent problem-solving skills
  • Comfortable receiving objective feedback and keen to take on new opportunities within the organisation.
  • Capacity to work collaboratively as a team member with all other legal, field and administrative staff to achieve effective coordination within the office.

Desirable

  • Previous experience working in an Aboriginal and/or Torres Strait Islander community-based organisation.
  • Previous experience working in a legal practice.
  • Previous secretarial or executive assistant experience
