About the Australian Alliance for Animals

The Australian Alliance for Animals is a national charity leading a strategic alliance of Australia’s major animal welfare organisations with a focus on effective animal advocacy through government engagement and policy reform. Launched in 2022, our member organisations include Animals Australia, World Animal Protection Australia, Humane World for Animals Australia, Compassion in World Farming, FOUR PAWS Australia and Voiceless, the animal protection institute.

We focus on three strategic priorities:

About the role

As our Operations Manager, you will manage the internal systems, processes, and structures that enable the Alliance for Animals to deliver on its mission. You will play a central role in ensuring the effective delivery of the organisation’s core functions—ranging from finance and compliance to human resources, fundraising, and day-to-day operations.

The Alliance team works remotely with staff currently based in NSW, Victoria and Queensland. This role can be based anywhere in Australia, with a slight preference for applicants based in NSW, Victoria or the ACT.

Working closely with the Director of Strategy, the Operations Manager is responsible for the efficient and effective functioning of Alliance operations, ensuring financial integrity, technological optimisation, and administrative excellence. This role is essential to managing the systems that enable the Alliance to deliver its programs and achieve its animal welfare policy reform goals.

Key responsibilities:

  • Financial administration: undertaking financial administration tasks, including liaising with contract bookkeepers, processing and paying invoices and expenses, transferring funds, record keeping, inputting and tracking budgets, generating financial reports and audit documentation.
  • Systems management: managing key platforms (MS365, Sharepoint, Google Workspace, Monday.com, Raisely, Stripe) including user training and troubleshooting and implementing AI and automation opportunities to improve operational efficiency while maintaining cybersecurity and data security.
  • Monitoring and evaluation: maintaining data records, implementing the Alliance’s monitoring and evaluation framework, and developing custom dashboards for impact reporting.
  • Compliance: ensuring full compliance with financial controls and regulatory requirements including reporting (ACNC, ATO etc.), workers compensation cover and insurance.
  • People & culture: organising recruitment processes, preparing contracts, updating staff details, inputting leave applications, onboarding new employees and volunteers.
  • Supporter and donor relations: monitoring and responding to supporter and donor enquiries, developing FAQs, building and maintaining positive donor and supporter relationships, maintaining accurate donor records, identifying ways to improve donor engagement and retention.
  • Grant administration support: maintaining grant documentation, tracking grant milestones, reporting dates and deadlines, collating information and supporting materials for grant applications and reports, identifying potential new grant opportunities.
  • General: providing administrative and logistical support for Alliance activities as needed.

As a member of a small office and team, other duties and activities that contribute to the work of the Alliance will be required from time to time. Occasional travel and work outside ordinary business hours will be required in this role.

Selection criteria

We’re looking for someone with these types of skills and experience:

  • Three or more years’ work experience in an operational or business management role, with responsibility for financial administration, ideally within the not-for-profit sector
  • A high level of proficiency in the Alliance’s key operational and financial management platforms (MS365, Sharepoint, Google Workspace, Monday.com, Xero, Dext, Raisely, Stripe)
  • An understanding of monitoring and evaluation frameworks and experience using AI tools for data analysis and impact reporting
  • A demonstrated aptitude for problem solving and helping other team members be more effective in their work
  • Excellent organisational skills, with a focus on accuracy and attention to detail
  • Strong and empathetic interpersonal skills
  • Demonstrated personal initiative and ability to work independently while while managing multiple projects simultaneously
  • Alignment with the Alliance for Animals’ vision, purpose, mission and values
  • Desirable but not mandatory: familiarity with the principles of effective altruism and the EA funding environment.

Alliance for Animals team members work remotely from multiple locations across Australia. To join us, you’ll need a comfortable home-office environment where you can participate in video conferencing and phone conversations during normal working hours. We will provide you with a laptop and essential accessories. The role is predominantly based at home but there are opportunities to work alongside other team members in capital city locations.
