The Australian Indigenous Doctors’ Association (AIDA) is seeking a highly organised and culturally aware Senior Project Officer – Specialist Trainee Support Program to support the coordination, administration and delivery of a national program strengthening outcomes for Aboriginal and Torres Strait Islander doctors undertaking non-GP specialist training.

AIDA is the national body representing Aboriginal and Torres Strait Islander doctors and medical students, focused on equitable health and life outcomes for Indigenous people. We do this by working towards population parity of Indigenous medical students and doctors, and supporting a culturally safe healthcare system.

About the Role

Reporting to the Director Medical Workforce Development, the Senior Project Officer – Specialist Trainee Support Program supports project planning, stakeholder engagement, trainee support activities, data collection, reporting, risk tracking and grant compliance.

The role contributes to improved recruitment, retention, progression and completion outcomes for Aboriginal and Torres Strait Islander doctors undertaking non-GP specialist training, and supports improved cultural safety within specialist medical training environments.

Working with specialist medical colleges, Aboriginal and Torres Strait Islander doctors and trainees, government stakeholders, mentors, supervisors and partner organisations, the role requires sound judgement, strong coordination skills and the ability to escalate complex, sensitive or high-risk matters appropriately.

Key Responsibilities

As Senior Project Officer – Specialist Trainee Support Program, you will:

  • Support day-to-day coordination of the Specialist Trainee Support Program in line with approved work plans, grant milestones and organisational priorities.
  • Prepare project schedules, track deliverables, maintain action and risk registers, monitor timelines and coordinate agreed program activities.
  • Coordinate culturally safe trainee support activities, including mentoring, professional development, peer connection, wellbeing-related activities and approved program initiatives.
  • Support engagement with specialist medical colleges, Aboriginal and Torres Strait Islander doctors and trainees, government stakeholders, mentors, supervisors and partner organisations.
  • Coordinate meetings, prepare agendas and minutes, maintain stakeholder records and follow up agreed actions.
  • Maintain accurate program documentation, including project plans, correspondence, activity records, reporting evidence and grant-related materials.
  • Assist with procurement, travel, event coordination, supplier liaison and administrative processes associated with program delivery.
  • Collect, collate and summarise program data to support monitoring, evaluation, grant reporting, performance updates and acquittal materials.
  • Work with Corporate Services to support budget tracking, expenditure monitoring and financial documentation under direction.
  • Identify operational issues, risks and opportunities for improvement, and escalate matters affecting delivery, compliance, stakeholder relationships or trainee support.

You understand the importance of Aboriginal and Torres Strait Islander leadership in health workforce development and can work respectfully with trainees, doctors, stakeholders and partner organisations.

Essential Skills and Experience

  • Relevant qualifications in public health, Aboriginal and Torres Strait Islander health, project management or a related discipline.
  • Experience in project coordination, program administration or operational support, preferably in health, education, workforce development, Aboriginal and Torres Strait Islander health, medical training or a related area.
  • Understanding of Aboriginal and Torres Strait Islander health, cultural safety and the importance of Aboriginal and Torres Strait Islander leadership in health workforce development.
  • Ability to coordinate project activities, manage competing priorities, monitor timelines and support delivery against agreed work plans.
  • Strong written communication skills, including drafting reports, minutes, briefs, correspondence, project updates and stakeholder communications.
  • Strong verbal communication and interpersonal skills, including respectful engagement with Aboriginal and Torres Strait Islander doctors, trainees, stakeholders and partner organisations.
  • Demonstrated ability to collect, organise and summarise information to support reporting, evaluation and decision-making.
  • Experience providing administrative, logistical or coordination support for meetings, events, stakeholder activities, reporting processes or funded programs.
  • Sound judgement, discretion and professionalism when handling confidential, sensitive or culturally significant information.
  • Ability to work independently on allocated tasks while knowing when to escalate complex, sensitive or high-risk matters.

Desirable

  • Experience working in an Aboriginal and Torres Strait Islander organisation, health organisation, not-for-profit, government-funded entity, member-based organisation or peak body.
  • Experience supporting Commonwealth-funded programs, including grant administration, milestone tracking or performance reporting.
  • Knowledge of the Australian medical education and training system, including medical school, prevocational training, vocational training, specialist college pathways and fellowship.
  • Experience using project management systems, stakeholder databases, Microsoft Office applications and online meeting platforms.
