The Australasian College for Emergency Medicine (ACEM) is a not-for-profit organisation responsible for the training, assessment and continuing professional development of emergency physicians, as well as the advancement of professional standards in emergency medicine in Australia and Aotearoa New Zealand.

The Opportunity

We are excited to offer a unique job share opportunity for two motivated individuals to join our team as Office and Facilities Officers. These two permanent part-time roles — one at 0.6 FTE (3 days per week) and one at 0.4 FTE (2 days per week) — together form a full-time function within the Membership and Corporate Services Department.

Working collaboratively, the two Officers will jointly support the smooth and efficient operation of ACEM’s workplace environment, providing a professional, safe, and welcoming experience for staff, members, and visitors. This is a great opportunity for someone looking for meaningful, varied work in a supportive team, with the flexibility of part-time hours The capacity to be able to take on additional days to cover each other’s scheduled absences is a key requirement for the successful applicants.

Key Responsibilities

Working as a job share pair, the Officers will collectively be responsible for:

Supporting day-to-day office and facilities operations, including monitoring and actioning requests via agreed channels e.g. maintenance requirements from staff.

  • Providing professional front-of-house and reception support, including greeting visitors, answering phones, and managing mail and deliveries.
  • Coordinating meeting and event logistics, including room preparation, catering, and setup.
  • Managing office, kitchen, and event supplies, and assisting with procurement and Purchase Order (PO) processes.
  • Maintaining the College’s asset and capital register and supporting storage management.
  • Providing light maintenance and preventative care for facilities, escalating where specialist support is required.
  • Supporting WHS compliance activities, including Test and Tag coordination, site inspections, and WHS Committee administration.
  • Updating intranet content and supporting internal communications related to office and facilities.
  • Contributing to a professional, safe, and welcoming office environment.

About You

We’re looking for two service-oriented, reliable individuals who take pride in keeping things running smoothly. You will bring:

  • Extensive experience in an external direct customer facing facilities, office services, or administrative support role where you bought genuine enthusiasm and positivity to your team
  • Strong organisational skills and the ability to juggle competing priorities with a calm, positive approach.
  • Excellent communication and interpersonal skills, with a genuine focus on customer service and quality improvement.
  • Confidence using Microsoft Office and digital workplace tools.
  • A collaborative mindset - job share only works when both partners communicate openly and support each other.
  • An understanding of basic maintenance, WHS, or vendor management (desirable, not essential).
