    As part of Zoos Victoria's Wildlife Conservation and Science team, Wildlife Welfare Programs supports free‑ranging native wildlife affected by emergencies, disasters and emergency animal diseases, drawing on Zoos Victoria's expertise in wildlife health and welfare. 

    The Wildlife Outreach Program Operations Officer plays a key role in supporting this work by providing essential operational coordination and administrative support, ensuring the effective planning, delivery and reporting of outreach activities, workshops and training programs, and maintaining systems, data and information hubs to support continuous improvement.

    Key accountabilities of the role:

    • Coordinate and provide high‑level administrative support to the Wildlife Welfare Programs to ensure timely and compliant delivery.
    • Plan and coordinate workshops, training, meetings and outreach activities, including scheduling, logistics and stakeholder communications.
    • Act as the central point of coordination for internal and external stakeholders, maintaining accurate contact lists and databases.
    • Manage logistics, procurement and inventories for field, regional and program activities.
    • Develop, maintain and manage program databases, reporting tools and a SharePoint‑based information hub.
    • Collate data and prepare reports for program monitoring, funding acquittals and compliance.
    • Support the development and maintenance of program resources, training materials and documentation.
    • Identify and implement improvements to systems, processes and workflows to support continuous improvement.

    The ideal candidate will have:

    • Demonstrated ability to coordinate complex administrative and operational activities, managing multiple priorities and deadlines.
    • Strong communication and stakeholder engagement skills, with experience working across teams and with external partners.
    • Proven experience providing program, project or operational support in a complex environment.
    • Experience coordinating workshops, events, logistics, procurement and travel arrangements.
    • Strong capability in data management, reporting and Microsoft 365 tools, including Excel and SharePoint.
    • Sound judgement with the ability to interpret procedures and resolve routine operational issues.
    • Understanding of animal welfare principles or wildlife response environments (desirable).
    • Current driver's licence, Employee status Working with Children Check, and willingness to undertake regular multi‑day travel.
