The Role
Based in the Melbourne CBD and working from home, WIS is currently seeking an enthusiastic individual to work alongside and support our National Marketing, Membership and Events Coordinator. In this role, the ideal candidate will gain comprehensive experience across all aspects of event management. WIS organises more than 75 member events nationally which include a variety of online and in person events, scholarship programs, conference breakfasts and industry forums. Events take place throughout the working day with occasional early morning and/or after work events. The ideal candidate will have some event management experience and be keen to evolve and develop new skills in a professional environment. The role will be offered on a permanent part-time basis (3 days a week).
Responsibilities
- Event Initiatives and Support - Liaise with suppliers, venues, sponsors and local committees on all requirements and logistics for events including catering and AV arrangements.
- Event Logistics - Prepare running sheets and speaker notes and co-ordinate event invoicing and payments. Prepare name tags and table signs. Process registrations and create and email post event surveys. Working across various online platforms such as MailChimp, SurveyMonkey, Zoom, Microsoft Teams and others.
- Event Administration - Set up all back-end requirements on the website including but not limited to event set-up, online registrations and new memberships and create event booking links and templates.
- Event Budgets – Ability to set up event budgets and track expenses and income.
- Speaker Liaison – Manage all contact with speakers and presenters and co-ordinate travel arrangements and logistics.
- Event Communications - Respond to all inbox queries relating to events, ticketing and event logistics.
- Volunteer Committee Liaison – Ability to work in supportive role with volunteer committees around the country.
- Team Support - Book any travel arrangements for WIS staff as required.
- Sponsorship – Track sponsorship partnerships through contracts register, develop contracts and agreements
- Represent WIS at the Women in Super Mother's Day Classic fun run/walk.
